Compliance Coordinator

Position Summary The Compliance Coordinator is responsible for ensuring the company’s compliance with regulatory, contractual, and client requirements. This role supports licensing, insurance, reporting, and documentation functions while serving as a key point of contact between internal teams, clients, and external partners. The Compliance Coordinator plays a critical role in maintaining accurate records, meeting deadlines, and ensuring smooth project setup and ongoing compliance activities. Key Responsibilities Maintain professional licensing requirements for the company and ensure timely renewals. Coordinate with clients to provide all necessary licensing documentation. Prepare and submit monthly reporting for Owner- and Contractor-controlled insurance programs. Manage monthly reporting and documentation for the District of Columbia and other jurisdictional compliance programs. Complete quarterly verification reporting in accordance with regulatory and client requirements. Track, collect, and execute lien waivers. Prepare and transmit all project setup documentation to stakeholders. Prepare and transmit all project closeout documentation to stakeholders. Track, distribute, and maintain certificates of insurance. Liaise with outsourced IT partners to ensure company systems and data security. Manage in-office software credentials, ensuring access, updates, and overall functionality. Qualifications Bachelor’s degree in relevant field preferred; equivalent experience considered. Commissioned as or ability to be commissioned as DC Notary Public. 2+ years of experience in compliance, licensing, or administrative coordination (construction industry experience a plus). Strong organizational and time-management skills with proven ability to meet deadlines. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Strong attention to detail and accuracy in documentation. Ability to work independently while maintaining a collaborative approach with internal and external partners. Work Environment Full-time, office-based with occasional remote coordination. Collaborative environment requiring adaptability and problem-solving.
