The Executive Coordinator will be responsible for providing administrative and project support to a senior manager, program directors, and their teams as part of North America Conservation and Science. The North America Managing Director for Conservation oversees a large unit comprised of: Conservation Resource Team, Human Rights and Equity in Conservation, Indigenous Right Relations, Leveraging Our Lands, and North America Region Science. Together, these programs advance the 2030 Global Goals by providing technical expertise, coordination, facilitation, and decision support to regional, divisional, and business unit conservation teams leading conservation strategies; strengthening the capability of leaders and practitioners to deliver high-quality, values-driven work; and designing, building, and improving shared systems and tools that enable effective conservation delivery across the region. Working across geographies, disciplines, and portfolios, these programs integrate and synthesize conservation practice at scale through conservation portfolio management; human rights and equity in conservation; Indigenous right relations; stewardship; and science that informs strategy, decision-making, and delivery.
The Executive Coordinator will perform a variety of administrative tasks and project support functions, primarily in support of the North America Managing Director of Conservation, as well as for the NA Conservation and Science program directors. Example administrative tasks include: calendar management, meeting arrangements and administration, travel arrangements, meeting and special events logistics, and processing expenses. They may communicate on behalf of senior leaders and have contact with other senior leaders, staff, donors, vendors, and business relations. Example project support functions include: meeting agenda planning, tracking deliverables, and preparing materials for virtual or in-person meetings as ad hoc topics, regularly meeting groups, and annual budget and PPP cycles. The Executive Coordinator will have knowledge of the systems and resources utilized by the teams they support, and NAR policies and procedures. To enhance the work of the team, they may take on such duties as a more significant role in project management, and/or enhancing the systems and tools used by the team.
RESPONSIBILITIES & SCOPE
Manages calendars, coordinates travel arrangements and expense reports;
Schedules and coordinates virtual meetings, working sessions and in-person events;
Plans and coordinates the annual budget and PPP cycles’ meetings and process;
Oversees and maintains meeting agenda planning, coordination, and tracking spreadsheets;
Prepares background materials for executive meetings and presentations;
Handles virtual calls, emails, and inquiries, directing them to the appropriate parties;
Assists in communication planning and execution;
Manage projects including setting deadlines, manage a timeline, and ensure accountability of project members;
Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs;
Maintain confidentiality of frequently sensitive information;
Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems;
Travel and work flexible hours, as needed; and
Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
The Executive Coordinator role is open to candidates in The Bahamas, Dominican Republic, Grenada, Jamaica, USVI, Canada (Alberta, Ontario, or Northwest Territories), the United States, Chile, Colombia, Guatemala, Mexico, Peru, or Belize with a strong preference for individuals who are able to support partners in multiple time zones including the Alaska Time Zone.

What You’ll Bring:
MINIMUM QUALIFICATIONS
Bachelor’s degree and 3 years related experience or equivalent combination
Experience generating reports, and analyzing and interpreting data
Experience managing the schedule and contacts of a senior leader
Experience coordinating projects
Experience using Microsoft programs i.e Word, Excel, PowerPoint
DESIRED QUALIFICATIONS
Strong organizational skills with exceptional attention to detail and accuracy;
Ability to manage multiple priorities and meet deadlines;
Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
Ability to implement complex processes;
Proficiency in Teams, Mural, Box, Zoom and Sharepoint preferred;
Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff;
Experience interpreting guidelines to achieve desired results;
Successful experience implementing strategic program goals.
Salary Information:
The starting pay range for a candidate selected for this position is generally within the range of $68,080 – $90,780 . This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
