At Catapult, we are supporting one of our members in their search for an Executive Assistant. About the OrganizationWe are a national nonprofit focused on helping leaders and organizations operate more effectively and increase their impact on key social issues. We provide practical tools, structured learning opportunities, and peer connections that enable decision-makers to navigate challenges, strengthen strategy, and execute their work more effectively.As we continue to grow, we are seeking a thoughtful and proactive Executive Assistant to manage the CEO's office and support a small, collaborative executive leadership team.Position OverviewThe Executive Assistant (EA) plays a critical role in ensuring the effectiveness and efficiency of the executive office, with a primary focus on supporting the Chief Executive Officer. This position partners closely with a small executive leadership team (3 total) and serves as a key coordinator of priorities, information flow, and administrative operations.The EA manages complex scheduling, prepares leaders for meetings and engagements, supports communication workflows, and ensures seamless day-to-day operations. This role requires strong judgment, discretion, and the ability to anticipate needs in a fast-paced, relationship-driven environment.Key ResponsibilitiesThe Executive Assistant will:Manage and prioritize the CEO's calendar, ensuring alignment with strategic priorities and proactively identifying potential conflicts or constraintsServe as a primary point of contact for the executive office, managing inbound communications and facilitating timely, thoughtful responsesPrepare briefing materials and ensure the CEO is fully prepared for meetings, events, and external engagementsTrack action items and follow-ups to support accountability and continuity across the executive teamMaintain accurate notes and records of meetings in alignment with organizational systemsCoordinate travel arrangements and logistical details for executive engagementsSupport planning and logistics for board and leadership meetingsManage expense reporting and reconciliation in compliance with organizational proceduresProvide additional support to senior leadership, including scheduling and administrative coordination, as neededCandidate ProfileThe ideal candidate is highly organized, detail-oriented, and able to operate with discretion and sound judgment in all interactions. This individual is both proactive and adaptable"capable of anticipating needs, managing competing priorities, and maintaining a high level of professionalism in a dynamic environment. They are a strong communicator who values relationship-building and understands the importance of representing senior leadership with care and precision.Desired Qualifications3+ years of experience providing executive-level administrative supportExperience working with a Board and/or a nonprofit organization (preferred, not required)Demonstrated ability to manage complex calendars and competing prioritiesStrong organizational skills with attention to detail and follow-throughHigh level of discretion and ability to handle confidential informationExcellent written and verbal communication skillsStrong interpersonal skills and ability to work effectively across teams and stakeholdersExperience with CRM systems (Salesforce preferred, not required)Advanced proficiency in Microsoft Outlook and working knowledge of Microsoft 365 toolsAbility to work effectively in a fast-paced and evolving environmentComfort operating with ambiguity while exercising good judgmentCollaborative mindset and willingness to support a range of organizational needsWork Environment & ExpectationsThe role is mostly remote but on-site meetings in DC may be required as well as domestic travel, possibly 4 times a year.
