ABOUT THE ROLE

We are seeking a detail-oriented and process-driven Marketing Operations Specialist to support the systems, campaigns, reporting, and workflows that keep our marketing team running efficiently. This role will help manage CRM-HubSpot, support webinars, maintain digital assets, coordinate social content, assist with campaign tracking, and improve internal marketing processes as our programs continue to scale.

WHAT YOU’LL DO

·    Manage and maintain HubSpot marketing assets, workflows, forms, landing pages, emails, lists, contact records, lead routing, and campaign tracking.

·    Support CRM data quality, list segmentation, contact imports, lifecycle stage updates, duplicate management, and lead source accuracy.

·    Build, update, and troubleshoot marketing automations, workflows, forms, campaign triggers, and lead management processes.

·    Support KPI dashboards, recurring reporting, campaign performance tracking, attribution tracking, UTM usage, and conversion reporting.

·    Coordinate webinar marketing operations, including promotional emails, registration pages, website updates, follow-up emails, registrant imports, and on-demand webinar support.

·    Assist with website, landing page, CTA, payment link, and digital content updates across marketing platforms.

·    Support social media content management, including scheduling, platform coordination, asset organization, and campaign alignment.

·    Help maintain centralized asset libraries, approved marketing materials, file structures, version control, and internal documentation.

·    Support regulatory and internal approval workflows for marketing materials.

·    Document SOPs and repeatable processes to improve efficiency as systems, campaigns, and D2C initiatives scale.

·    Coordinate cross-functionally with marketing, sales, education, operations, customer support, compliance, IT, and outside vendors.

PLATFORMS & TOOLS

Primary platforms include HubSpot, GoTo Meeting/GoTo Webinar, Umbraco, Google Ads/Analytics, Meta Ads Manager, Excel/Google Sheets, and social media management tools.

Additional experience with Canva, Zoom Webinar, Vimeo/Wistia/Dacast, Zapier or other integrations, basic HTML/CSS, AI tools, and HubSpot certifications is a plus.

Familiarity with AI tools (ChatGPT, Claude, Canva AI, etc.) for operational efficiency and content support.

WHAT WE’RE LOOKING FOR

·    Experience with HubSpot or a similar CRM/marketing automation platform.

·    Familiarity with email marketing, landing pages, forms, workflows, campaign tracking, and lead management.

·    Understanding of attribution, UTM tracking, conversion tracking, and campaign reporting.

·    Strong Excel or reporting skills, including exports, list cleanup, pivot tables, and performance reporting.

·    Experience coordinating webinars, virtual events, online education programs, or video-based marketing content.

·    Ability to manage multiple projects, shifting priorities, and cross-functional requests with strong attention to detail.

·    Strong written communication, organization, troubleshooting, and problem-solving skills.

·    Experience with D2C, e-commerce, healthcare, veterinary, medical device, life sciences, or another regulated industry is a plus.

·    Experience supporting marketing and sales alignment initiatives" since the role will likely touch pipeline management, lead routing, reporting, and CRM governance.

·    Comfortable learning new systems, technologies, and marketing platforms in a fast-changing environment". I think this will be important as workflows, systems, and initiatives continue evolving.
