JOB DESCRIPTION
The Operations Coordinator supports the day-to-day logistics of live entertainment productions, with a focus on scheduling support, client invoicing, and cross-functional coordination. This role requires strong organizational skills, clear communication, and an ability to multitask in a fast-paced environment. The Operations Coordinator plays a key part in ensuring events run smoothly and clients receive accurate, timely information and billing.
KEY RESPONSIBILITIES
1. Scheduling & Logistics Coordination:
- Assist in the development and maintenance of event, rehearsal, and crew schedules.
- Coordinate availability with production teams, talent, and venue contacts.
- Distribute schedule updates and confirmations to employees.
2. Client Invoicing & Documentation:
- Prepare and send accurate client invoices based on contracted rates, labor logs, and production timelines.
- Track invoice statuses, follow up on outstanding payments, and update internal billing systems.
- Ensure supporting documentation (e.g., timesheets, event reports) is correctly filed and accessible.
3. Resource & Crew Support:
- Liaise with technical and logistics departments to confirm resource availability and deployment.
- Assist in tracking crew hours and ensuring timekeeping accuracy for payroll and invoicing purposes.
4. Client & Stakeholder Communication:
- Serve as a key point of contact for scheduling adjustments, client inquiries, and event coordination.
- Communicate updates, delays, or conflicts promptly and professionally.
5. Onboarding & Site Support:
- Assist with the onsite onboarding of crew, ensuring proper check-in, and documentation.
- Coordinate with site supervisors to confirm team readiness and compliance with safety protocols.
6. Administrative & Operational Support:
- Maintain up-to-date event records, resource logs, and internal tracking systems.
- Support the Operations Manager in process improvement initiatives and reporting.
7. Technology and Tools:
- Utilize scheduling software and tools to manage and optimize schedules.
- Stay updated on industry trends and tools that can enhance scheduling efficiency.
PROFESSIONAL & PERSONAL QUALIFICATIONS:
- 2+ years of experience in an operations, production, or administrative role (live events or entertainment preferred).
- Strong organizational and multitasking skills with a high attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in scheduling software and tools.
- Ability to work under pressure and adapt to a fast-paced, changing environment.
