Job Coordinator for Roofing, Gutters & Exterior Services- EXPERIENCED ONLY

Full-Time, On Site in Clifton, NJ

We are an established, reputable, and fast-paced exterior services company specializing in chimneys, roofing, gutters, masonry, and siding. We are seeking a proactive and highly organized Job Coordinator to manage the full lifecycle of our projects. This role is essential in keeping schedules on track, documentation accurate, and communication clear.

Key Responsibilities

Material & Vendor Management

• Setup, track, schedule, and closeout multiple projects simultaneously
• Order all job materials and coordinate deliveries
• Arrange dumpster orders, swaps, and final pickups
• Manage material returns and credit tracking
• Communicate with vendors and suppliers

Scheduling & Project Coordination

• Manage COI's and ensure subcontractor insurance and safety documentation are current.
• Schedule jobs with subcontractors
• Track job progress daily
• Adjust schedules quickly when weather or job conditions change
• Coordinate inspections with permit department as needed
• Assure sub contractors submit bills and photos

Documentation & Job Readiness

• Order roof report to assure materials and job scope are verified
• Enter PO into system
• Before starting any work, ensure contracts, deposits, permits are received and signage is on job location
• Maintain organized and up-to-date job folders, including contracts, payments, permits, submittals, warranties, and project photos

Communication

• Serve as the main point of contact between office, salesperson, customers, and subcontractors
• Provide clear job details, timelines, and requirements
• Communicate delays or changes proactively
• Support customers with questions about expectations, material delivery, dumpster delivery, etc.

Qualifications

• Experience in roofing, gutters, siding, or exterior trades required
• Demonstrated ability to lead and manage exterior home projects required
• 2+ years coordinating jobs, scheduling, or office operations in job management required
• Strong understanding of materials and workflow for exterior home services required
• Excellent communication and multitasking skills (bilingual a plus)
• Ability to stay ahead of deadlines and keep multiple jobs moving
• Highly organized with strong attention to detail
• Proficiency with project management and CRM/scheduling software (Service Titan a plus)
• Ability to work in a fast-paced environment with shifting priorities
