Workforce Coordinator

Careerscape is recruiting on behalf of our client, a growing organization in the Wilmington area, for an entry-level Workforce Coordinator to join their team. This is a great opportunity for an organized, detail-oriented professional to build a career in workforce planning and scheduling while working closely with operations and HR leaders on the systems that keep the business staffed and running smoothly.

Day to day, you will spend your time building and adjusting schedules, tracking attendance, and fielding questions from employees and managers about coverage and time off. The role suits someone who enjoys problem solving under light time pressure, is comfortable with spreadsheets and HR systems, and takes pride in keeping accurate, well organized records. It is a hybrid position, so you will split time between the client's Wilmington office and remote work while still building strong in-person relationships with the team.

Responsibilities

• Build and maintain daily and weekly employee work schedules
• Monitor attendance, time-off requests, and shift coverage
• Enter and update employee data in the workforce management system
• Communicate schedule changes to employees and supervisors
• Assist with tracking overtime and labor hour budgets
• Support onboarding logistics for new hires including badge and system access
• Run and distribute basic staffing and attendance reports
• Respond to employee questions about schedules, timecards, and policies
• Help identify and escalate staffing gaps to management
• Maintain organized digital and physical workforce records

Requirements

• High school diploma or equivalent required, associate or bachelor degree preferred
• Strong organizational skills and attention to detail
• Comfortable working in Microsoft Excel and other office software
• Clear written and verbal communication skills
• Ability to manage multiple schedules and priorities at once
• Basic familiarity with HRIS or scheduling software is a plus
• Prior internship, retail, or customer service experience is helpful but not required
• Ability to maintain confidentiality of employee information
• Must be able to work on-site in Wilmington, Delaware as part of a hybrid schedule
