Home Care Office Supervisor

The Home Care Office Supervisor is responsible for overseeing the daily administrative operations of a Home Health Care Agency. This role ensures efficient office management, regulatory compliance, staff coordination, and high-quality client service delivery. The ideal candidate has prior experience in private duty nursing and understands home care scheduling, caregiver supervision, and state/federal regulations.

Duties and Responsibilities

• Oversee daily office operations
• Maintain organized, accurate, and secure personnel and client records
• Serve as a point of contact for office-related issues, escalations, and inquiries
• Ensure confidentiality of employee and client information in compliance with HIPAA and agency policy
• Assist with employee onboarding, orientation and training efforts
• Help support initial and ongoing in-home client supervisory visits, when applicable
• Respond to employee questions regarding policies
• Collaborate with scheduling staff to ensure appropriate caregiver and nursing coverage
• Assist with resolving staffing issues, call-offs, and coverage gaps
• Monitor authorized service hours for IDOA, VA, MCO clients
• Monitor monthly allocation hours for private duty nursing cases
• Support communication between office staff, caregivers and nurses
• Help oversee timekeeping processes to ensure accurate reporting of caregiver and nursing hours
• Support intake processes, including referrals, admissions, and service coordination
• Promote a positive workplace culture aligned with agency values

Qualifications

• High school diploma or GED (Associate’s or Bachelor’s degree preferred)
• Experience in Health Care and Private Duty nursing
• Knowledge of Illinois home care regulations (IDPH, preferred)
• Strong organizational, documentation, and communication skills
• Ability to handle confidential information professionally
• Ability to pass background checks and meet agency hiring requirements
