Executive Assistant to Chief Executive Officer

The Executive Assistant to the CEO will provide high-level administrative support to ensure the CEO’s time is optimized and organizational priorities are met. This role involves managing complex schedules, coordinating travel, and serving as a key liaison between the CEO and internal/external stakeholders. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and maintains the highest level of confidentiality. The company is a high-growth, well-funded startup where priorities change and shift quickly. The office is 4 days onsite in White Plains, NY and needs a candidate local to the White Plains area.
Responsibilities
- Coordinate and manage complex travel arrangements, ensuring accuracy and efficiency.
- Process and track expense reimbursements in a timely manner.
- Oversee heavy calendar management and scheduling, anticipating conflicts and prioritizing effectively.
- Act as a liaison between the CEO and stakeholders, ensuring clear and timely communication.
- Prepare materials for meetings and serve as a gatekeeper for the CEO’s time and priorities.
- Draft and edit correspondence, reports, and presentations on behalf of the CEO.
- Assist with office management tasks and provide reception support as needed.
- Support the build-out of new office space, ensuring smooth operations during expansion.
Required Experience/Skills
- Must live locally to White Plains, NY (within 30-40 minute commute)
- Proven experience as an Executive Assistant to a CEO.
- Minimum of 7 years of administrative experience in a fast-paced, high-growth environment.
- Strong organizational skills with exceptional attention to detail and ability to anticipate needs.
- Ability to maintain confidentiality, discretion, and sensitivity to information.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and other productivity tools.

- Ability to adapt quickly to changing priorities and thrive under pressure.
- Strong problem-solving skills and proactive approach to challenges.
