The Business Office Director is responsible for the administrative and financial operations of the Business Office, Registration, and HIM Departments ensuring that daily activities run smoothly and that the hospital complies with regulatory standards. Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures.

Qualifications:

• Must be a high school graduate or equivalent, with some college courses.

• Five (5) or more years of previous hospital experience in all aspects of business office functions.

• Previous supervisory experience is required.

Roles and Responsibilities:

• Demonstrates the ability to direct and coordinate the patient accounting function in order to consistently produce accurate bills which are paid in a timely manner.

• Monitors activities continually with collection agencies, insurance companies, Admitting, Health Information Management Services, Information Systems, patients, and physicians; coordinates operation and recommends corrective action, as appropriate.

• Effectively utilizes and understands the departmental computer system in order to realize its optimal potential and to be able to evaluate and answer staff member questions regarding the mechanics of the system.

• Demonstrates tact and diplomacy when setting patient accounts and responding to physicians' requests to discount patient bills; follows established hospital guidelines.

• Works effectively with auditors in locating various patient bills as required; demonstrates cooperation and responsiveness.

• Maintains a current awareness of third-party reimbursement regulations and contractual arrangements with HMOs and PPOs.

• Establishes specific and necessary planning, control, and quality assurance mechanisms that monitor patient registration, administrative, and economic outcomes.

• Assures compliance with all federal, state, and local laws, codes, and standards as applicable.

• Responsible for the Admitting Department, including reservations for hospital services, pre-admitting patients, verifying insurance eligibility, admitting outpatients and inpatients.

• Organizes the departments in a manner that is consistently responsible to patient/customer needs.

• Promotes good staffing practices by maximizing the utilization of human resources; forecasts and anticipates the staff needs of the department with regard to fluctuations in the projected workload; holds staffing at a functional minimum.

• Develops annual budget that reflects departmental needs based on external and internal environments and the application of cost-effective management.

• Establishes, reviews, and updates short-term and long-term goals in order to be consistent with hospital-wide plans.

• Is available to the Admitting Department Manager and supervisors to handle patients' concerns, complaints, and other department issues.

• Supports and maintains a culture of safety and quality.

• Consistently demonstrates good organizational skills in the routine accumulation of statistical information and reports it to the Chief Financial Officer (CFO) in an accurate and timely manner.

• Responsible for educating staff on performance improvement activities.

• Ensures documentation meets established standards.

• Effectively coordinates the Patient Accounts function with Accounts Receivable, Admitting, Health Information Management Services, and Nursing departments on a routine basis.

• Responsible for completion of annual performance evaluations for each staff member; conducts evaluations for new staff prior to completion of probationary period.

• Supports and maintains a culture of safety and quality.

Knowledge, Skills, and Abilities:

• Ability to work with physicians and others in a collaborative manner

• Knowledge of accrediting organization and state regulations for both acute and skilled nursing facilities.

• Strong organizational and interpersonal skills including the ability to communicate effectively, both orally and in writing

• Medical terminology utilized in medical billings

• Current office practices and procedures

• Use of standard office equipment

• Proficiency with computer skills including Microsoft Office applications

Physical Requirements and Environmental Conditions:

• High-stress environment

• Exposure to blood and body fluids, communicable diseases, chemicals, radiation, and repetitive motions

• Position requires light lifting of 5-10 pounds

• Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing

• Mental demands include: alertness, analytic ability, memory, concentration, judgment, initiative, precision, creativity, and communication.
