The individual hired for this position will act as the primary point of contact for scheduling, submitting updates, coordinating meetings among various campus groups, communicating with stakeholders, and documenting and supporting the planning, execution, and delivery of technology initiatives. The position requires strong organizational and communication skills, with the ability to manage large task lists, prioritize work, and follow through on commitments; the ability to adapt to changing priorities and take initiative to support the project team where needed.ResponsibilitiesScheduling, Sequencing, & Execution Planning:Develop and manage detailed project implementation schedules for campus-wide and College Schools and Units (CSU) that impact projects.Coordinate timing around:Academic calendars and instructional prioritiesResearch-critical windowsMaintenance and access windowsSequence work across multiple buildings and CSUs to avoid conflicts, overlaps, or unintended impactTrack dependencies between projects occurring in shared spaces or involving shared resourcesSpace & Access Coordination:Scheduling physical space access across:Academic buildingsResearch facilitiesAdministrative and shared campus spacesServe as the central point of coordination between:College Schools and UnitsIT Infrastructure and service teamsFacilities, construction, and maintenance groupsEnsure space readiness (access approvals, timing alignment, occupancy constraints)Project Management & Implementation Support:Manage defined projects or project phases under the guidance of a senior PMTrack:ScopeMilestonesDeliverablesAction itemsSupport execution by:Assigning and tracking tasksMonitoring progressIdentifying risks and issuesFacilitate implementation activities such as migrations, upgrades, and campus changesEnsure projects move from planning into successful delivery, not stall in coordinationCross-CSU Coordination & Communication:Act as a liaison between IT, Facilities, and non-IT campus groups to align schedules and execution plansTrack CSU-specific constraints, exceptions, and local approvalsEnsure communication reaches the correct CSU contacts and stakeholdersDocumentation & Tracking:Maintain schedules, coordination logs, dependency lists, and change recordsTrack execution status and surface schedule risks or conflicts earlySupport audit, reporting, and institutional memory needs for long-term projectsWork with stakeholders to modify scheduling when conflicts arisePerform other related functions as assigned.Required QualificationsU.S. Citizen, resident, or officially recognized asylee - Applicant selected will be subject to government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position.Bachelor's Degree in Business Administration, Computer Science, Information Technology, Engineering, or related field of disciplineStrong organizational and communication skillsAbility to manage large task lists, prioritize work, and follow through on commitmentsAbility to adapt to changing priorities and take initiative to support the project team where neededEquivalent combination of relevant education and experience may be substituted as appropriate.Preferred QualificationsCertified associate in project management (CAPM)Salary Range$65,000 + depending on qualificationsWorking ConditionsMay work around standard office conditionsRepetitive use of a keyboard at a workstationUse of manual dexterity (ex: using a mouse)Work ShiftMonday – Friday flexible between 7am-6pm, Occasional nights/weekends maybe requiredRequired MaterialsResume/CV3 work references with their contact information; at least one reference should be from a supervisorLetter of interestImportant for applicants who are NOT current university employees or contingent workers: You will be prompted to submit your resume the first time you apply, then you will be provided an option to upload a new Resume for subsequent applications.
