Whiteface Ford is hiring a General Administrative Assistant to support our dealership office and accounting team. This is a detail-focused role for someone who keeps invoices, charges, coding decisions, payments, and office records organized and moving. Responsibilities
- Review invoices and determine whether they should be paid by check or were paid by company card.
- Route unclear charges and invoices to the right manager for account or department coding.
- Post approved expenses to the correct account or department.
- Track company-card charges and follow up on missing receipts or explanations.
- Follow up on invoices, statements, balances, and recurring check payments.
- Maintain accurate office records and communicate clearly when information is missing.
- Administrative, accounting-clerk, accounts-payable, bookkeeping, or comparable office-support experience.
- Experience with invoices, payments, expense coding, reconciliations, or company-card records.
- Strong accuracy, organization, written communication, and follow-through.
- Comfort working with managers and vendors to resolve missing information.
