Mail Imaging Associate

We are seeking a disciplined, high-energy professional to join our team! This is currently a 3-month (possibly an opportunity to extend), 100% onsite contract focused on the high-volume processing of shareholder inbound and outbound mail communications and legal documents.

If you are a "pro" at organization and thrive on meeting daily deadlines, this is the perfect role for you. You have the flexibilty to chose between two shift options: 7:30am – 4:00pm or 8:00am – 4:30pm.  This postion requires lifting and moving up to 40 pounds.

Responsibilities

Mail & Logistics Coordination

• High-Volume Sorting: Swiftly sort and distribute incoming/outgoing mail and packages by mail type, PO Box, or keywords. This could include lifting boxes up to 40 pounds from time-to-time.

• Courier Management: Coordinate postal services and trackable mail into a third-party database; prepare manifests for distribution.

• Secure Handling: Ensure the mail processing area remains organized, secure, and compliant with the handling of Client Private Personal Information

• Facility Support: Maintain mailroom equipment and supplies, and provide physical support for office moves or relocations as needed.

• Verification: Perform Medallion Guarantee verification via third-party websites to ensure document validity.

• Digitization: Utilize automated mail-opening and high-speed imaging equipment to transition physical documents into digital workflows.

• Technical Proficiency: Use various computer software, imaging equipment, and industrial mail-opening machinery.

• Detail Oriented: Spot discrepancies in legal documents and track package signatures with 100% accuracy.

• Reliability: Arrive on time daily and lean into your proven track record of punctuality and attendance—timely processing is essential to avoid transaction delays.
