Administrative Assistant
RIGHT NOW HEATING and AIR CONDITIONING
Overview We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations and ensure the smooth functioning of our team at our Blackfoot location. The ideal candidate will be responsible for handling communications, maintaining records, coordinating Installs and sales, and providing administrative support to leadership and staff. Strong organizational skills, professionalism, and the ability to multitask in a fast-paced environment are essential. This role plays a key part in maintaining efficiency, delivering excellent customer service, and supporting overall business objectives. Responsibilities include:
- Prepare job folders and ensure all required documents are included
- Process incoming payments, including applying cash or checks to job folders
- Make copies of checks and forward them to the headquarters administrative team
- Maintain and update internal spreadsheets and tracking documents
- Handle cash and check deposits accurately and in a timely manner
- Process employee PTO and advance requests
- Ensure timesheets are completed and submitted on schedule
- Reconcile credit card statements and petty cash
- File invoices and mail out payments for invoices due
- Install/Sales coordination
- Collections
- Assist with onboarding
