We are seeking a highly organized, professional, and customer-focused individual to join our team as a Landscape Customer Service & Client Experience Coordinator .

 

This role is ideal for someone who enjoys helping clients, coordinating projects, solving problems, and ensuring every customer receives an outstanding experience from their first call through project completion.

What You'll Do

Customer Service & Client Relations

  • Serve as a primary point of contact for clients throughout the design and construction process
  • Answer incoming calls and respond to customer inquiries professionally and promptly
  • Provide exceptional customer service and create positive client experiences
  • Keep clients informed about project timelines, scheduling, and next steps
  • Coordinate project follow-up, punch list items, warranty requests, and service needs
  • Resolve customer concerns and communicate solutions effectively
  • Maintain accurate customer records and communication logs

Lead Management & Scheduling

  • Receive, qualify, and assign incoming landscape leads
  • Schedule consultations between clients and landscape designers
  • Track lead activity and provide weekly reporting to management
  • Coordinate appointments, meetings, and project scheduling
  • Ensure smooth communication between clients and internal teams

Project Coordination & Administrative Support

  • Assist designers and production managers with project coordination
  • Prepare project packets and administrative documentation
  • Maintain job records and update information within company software systems
  • Coordinate communication between vendors, designers, production teams, and clients
  • Support office operations and maintain a professional, welcoming environment
  • Participate in team meetings and help keep projects organized and on schedule

What We're Looking For

Required Qualifications

  • Minimum 3 years of experience in:
    • Customer service
    • Client relations
    • Project coordination
    • Administrative support
    • Scheduling or office management
  • Outstanding communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Professional phone and email communication skills
  • Strong attention to detail and follow-through
  • Proficiency with Microsoft Office and business software systems
  • Positive attitude and team-oriented mindset

Preferred Qualifications

  • Experience in landscaping, construction, home services, or design/build industries
  • Experience with CRM or project management software
  • Experience coordinating schedules, service teams, or project workflows
  • Knowledge of plants, horticulture, or outdoor living projects is helpful but not required
