[K-day PACE] Human Resources Coordinator - Bilingual (Korean & English)

K-Day PACE

Position Summary The Human Resources Coordinator serves as the primary on‑site human resources resource for our K-Day PACE (Program of All‑Inclusive Care for the Elderly) organization. This role provides day‑to‑day support to employees and managers while partnering closely with leadership and any centralized HR functions. The HR Coordinator plays a vital part in attracting, onboarding, developing, and retaining compassionate, qualified professionals who deliver comprehensive medical, social, and supportive services to frail elderly participants. By ensuring efficient, compliant, and people‑centered HR processes, this position directly supports our mission of enabling older adults to live independently with dignity and grace in their homes and communities. This is a hands‑on, visible role in a dynamic healthcare environment that values interdisciplinary teamwork, regulatory excellence, cultural sensitivity, and genuine care for both our participants and our staff. Essential Duties and Responsibilities Recruitment & Talent Acquisition Support Coordinate end‑to‑end recruitment activities in partnership with hiring managers and leadership, including job posting (internal and external boards), resume screening, phone screens, interview scheduling, reference checks, and candidate communication. Maintain the applicant tracking process and ensure a positive candidate experience aligned with our values of respect and professionalism. Support the development of job descriptions, interview guides, and selection criteria that reflect the competencies needed to serve our elderly participants effectively. Onboarding, Orientation & Employee Integration Lead and coordinate comprehensive new hire onboarding, including preparation of offer letters and verification of new hire paperwork (I-9, W-4, direct deposit, emergency contacts, handbook acknowledgments, confidentiality agreements, etc.). Schedule and facilitate or coordinate new employee orientation sessions covering organizational mission, PACE model, policies, benefits, safety, HIPAA/privacy, mandatory reporting, and role‑specific expectations. Coordinate pre‑employment and onboarding screenings: background checks (including OIG/SAM exclusion lists and Live Scan where applicable), drug screens, TB testing, immunizations, and health clearances required for work in a K-Day PACE healthcare setting. Ensure timely setup of system access (HRIS, email, phone, building access) and partner with IT and department leads for smooth integration into the interdisciplinary care team. HR Administration, Records & Compliance Maintain accurate, confidential, and well‑organized personnel files and HRIS data in compliance with federal, state, and K-Day PACE program record retention and privacy requirements (including HIPAA where applicable). Process employee status changes, transfers, promotions, and separations; ensure compliance with California final pay requirements and timely offboarding when applicable. Track and coordinate employee leaves of absence (FMLA, CFRA, other state/local leaves, personal leave) and return‑to‑work processes in coordination with leadership and benefits providers. Support benefits administration, including open enrollment activities, eligibility tracking, basic employee questions, and coordination with benefits carriers or brokers. Maintain required workplace postings, coordinate mandatory compliance trainings (harassment prevention, workplace violence, safety, elder abuse reporting, etc.), and track completion records. Assist with HR compliance audits, I-9 audits, personnel file reviews, and preparation for external audits or surveys related to workforce practices. Employee Relations, Payroll Support & Special Projects Serve as a visible, approachable onsite HR point of contact; answer employee and manager questions regarding policies, procedures, benefits, PTO, and workplace matters with professionalism and discretion; escalate complex issues appropriately. Partner with payroll on accurate timekeeping, PTO tracking and accruals, new hire payroll setup, and resolution of payroll‑related inquiries. Support the performance management cycle by distributing evaluation materials, tracking completion, filing documents, and assisting with performance improvement processes as directed. Assist with employee relations matters, including documentation of conversations, support for investigations, and promoting a positive, respectful workplace culture consistent with K-Day PACE values of dignity, compassion, and teamwork. Lead or support HR projects and initiatives such as employee engagement activities, recognition programs, policy updates, staff training coordination, and process improvements that enhance the employee experience. Qualifications and Requirements Education & Experience Required: Bachelor’s degree in Human Resources, Business Administration, Organizational Psychology, Healthcare Administration, or a related field; or an equivalent combination of education and progressively responsible HR experience. Required: Minimum of 2 years of HR coordinator, HR administrative, or HR generalist experience. Experience in healthcare, non‑profit, senior care, or other regulated environments strongly preferred. Preferred: Previous experience supporting HR functions in a PACE program, home health agency, long‑term care facility, or similar interdisciplinary healthcare setting. Certifications (Preferred) SHRM‑CP, PHR, or equivalent HR professional certification is a plus. #J-18808-Ljbffr K-Day PACE
