Project Administrator / Project Coordinator

Job Title: Project Administrator / Project Coordinator Location: Hybrid Role- Newark, DE (3 days onsite and 2 days remote) Duration: 9-12+ Months Rate: $20/hr on W2 or $24/hr on C2C or 1099- MAX Job Description We are looking for a Project Administrator for a contract opportunity that is hybrid in Newark, DE. The Project Administrator provides hands‑on implementation and post‑implementation support for program changes, with a focus on technology configuration, end‑user training, and operational continuity. This role serves as the primary point of contact for day‑to‑day program administration, ensuring that system changes are accurately configured, staff are trained and supported, and all procedures and communications reflect current program requirements. The Project Administrator works both onsite and remotely, delivering real‑time support to operational teams through in‑person presence and screen sharing. What You’ll Do Implementation & Onsite Support Provide elbow‑to‑elbow implementation support during program rollouts, both onsite at operational locations and remotely via screen sharing. Serve as the on‑the‑ground resource for staff during go‑live transitions, troubleshooting issues in real time and ensuring continuity of operations. Coordinate pre‑implementation logistics including scheduling, site readiness, and stakeholder communication. Conduct post‑implementation follow‑up to confirm system stability, address user questions, and resolve outstanding issues. System Configuration & Administration Own the full configuration lifecycle within the Qmatic queuing system — configure, test, and certify changes prior to go‑live — ensuring all updates accurately reflect program requirements and are validated before deployment. Execute structured testing protocols against program specifications; document test results, resolve defects, and issue certification sign‑off before changes are promoted to production. Partner with technical and program teams to translate business requirements into system configurations. Monitor system performance post‑change and elevate technical issues to the appropriate support team. Training & Procedure Development Develop and deliver training for end users on updated workflows, system changes, and new procedures — in person and via virtual platforms. Create and maintain clear, user‑friendly job aids, SOPs, quick reference guides, and training materials. Facilitate training sessions for staff at varying levels of technical proficiency, adapting delivery style as needed. Update training content on a rolling basis to reflect program changes and incorporate user feedback. Communication & Stakeholder Coordination Draft and distribute program change communications to internal staff, operational teams, and relevant stakeholders. Serve as a liaison between program leadership, operational sites, and technical teams to ensure alignment and timely information flow. Manage communication channels and shared resources related to program changes, including email updates, shared drives, and collaboration platforms. Proactively flag implementation risks, scheduling conflicts, or user adoption issues to the program manager. Documentation & Reporting Maintain organized project files, change logs, training records, and configuration documentation in accordance with organizational standards. Prepare status updates and implementation summaries for program leadership. Support the development and maintenance of program charters, change requests, and related documentation as needed. What You’ll Need Required High school diploma or equivalent required; associate’s degree in a related field preferred. 2+ years of experience in an operational support, customer service leadership, training, or systems administration role. Demonstrated ability to deliver hands‑on training and support to end users with varying levels of technical proficiency. Experience with system configuration, testing, and administration within any enterprise or operational platform (e.g., CRM, ticketing, scheduling, queuing, or workflow systems); comfort taking ownership of a change from configuration through certification. Strong written and verbal communication skills, including the ability to develop clear procedural documentation and user‑facing communications. Proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams) and collaboration/documentation tools. Ability to travel to operational sites for in‑person implementation support as required. Highly organized with the ability to manage multiple tasks and priorities simultaneously in a fast‑paced environment. Preferred Experience with Qmatic or similar queuing/appointment management systems. Familiarity with Smartsheet or similar project tracking and workflow tools. Experience supporting technology rollouts or operational change initiatives. Background in a PMO, operations support, or program administration environment. Experience developing SOPs, training guides, or instructional materials. Comfort with screen sharing tools (Teams, Zoom, WebEx) for remote support and virtual training delivery.
