As a Job File Coordinator, you will act as a key liaison between customers and project stakeholders, ensuring projects run smoothly from start to finish. You'll monitor project progress, maintain accurate documentation, and collaborate across teams to meet customer needs efficiently. Key responsibilities include overseeing and maintaining accurate job file documentation from lead conversion to project completion, communicating clearly and efficiently with customers, production crews, and stakeholders to ensure project success, creating and reviewing estimates based on project scope and supporting documentation, monitoring active projects to ensure compliance with client requirements and internal standards, auditing job files daily to confirm all work is properly documented and invoiced, maintaining an up-to-date Work in Progress board to track project statuses, assisting in the final review and audit of completed job files before invoicing, and supporting cross-departmental collaboration as needed.
Position requirements include a high school diploma or GED, at least 1 year of customer service and/or office-related experience, strong administrative and multitasking skills with keen attention to detail, proficiency in relevant computer applications and digital tools, excellent verbal and written communication skills, and experience in the restoration, construction, or insurance industries is a plus.
The work environment and physical demands are predominantly a sedentary office role in a fast-paced environment, occasional filing tasks may require lifting, bending, or standing, and ability to work varying hours (MondayFriday, 7:00 a.m. 6:00 p.m.) with flexibility as needed.
