Full‑time Description Healthy Alliance is looking for an Executive Assistant in the Capital Region to provide high‑level support to members of the executive leadership team. The role involves managing schedules, meetings, travel, communication, and office operations while maintaining confidentiality and building strong working relationships across the organization. Reporting to the Vice President of Human Resources, you will manage calendars, meetings, travel, communication, and office operations while maintaining sensitivity to confidential information and building strong relationships across the organization. What You’ll Do Provide day‑to‑day support to executive leaders, including managing calendars, scheduling meetings, and keeping leaders focused on top priorities. Coordinate internal and external meetings, prepare agendas and materials, and track follow‑up items. Arrange travel, complete expense reports, and support purchase requests accurately and on time. Draft, format, and review emails, letters, reports, presentations, and other materials with strong attention to detail. Support Board and committee work by managing logistics, preparing materials, and keeping information organized. Coordinate calendars, confirm attendance, ensure quorum, and support smooth meeting operations. Serve as a helpful point of contact for staff, vendors, and external partners, ensuring professional and timely communication. Manage office operations, including supplies, mail, vendor coordination, and general workplace needs. Maintain accurate files, records, and documents while handling sensitive information with confidentiality. Plan and support events, off‑sites, team meetings, and other special activities that bring people together. Identify workflow improvements, solve problems, and build systems that enhance executive and organizational effectiveness. Work in the office 1 to 1.5 days per week at the Schenectady, NY coworking space; regular day trips to the Syracuse, NY office required, typically twice per month. Perform other related duties as assigned. How You’ll Contribute Confidentiality and discretion: Handle sensitive information with professionalism, sound judgment, and trust. Organization and attention to detail: Maintain accurate records, manage multiple priorities, and ensure timely completion of work. Executive support and calendar management: Provide proactive, high‑level support to help leaders stay focused and use time effectively. Relationship management: Build and maintain positive, professional relationships across all levels of the organization and with external partners. Requirements Education Associate or bachelor’s degree in business administration, communications, or a related field preferred; equivalent work experience may be considered. Professional Work Experience Three or more years of executive assistant, senior administrative support, or related experience, preferably supporting senior leaders or executive teams. Knowledge, Skills, And Abilities Strong experience managing complex calendars and coordinating changing priorities with accuracy and good judgment. Ability to handle sensitive and confidential information with discretion and professionalism. Experience preparing meeting materials, presentations, reports, and correspondence with attention to detail. Strong written and verbal communication skills, working effectively with executives, board members, staff, and external partners. Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Adobe, and other scheduling, document preparation, and communication tools. Ability to stay organized, manage multiple tasks, meet deadlines, and adapt quickly in a fast‑paced environment. Experience supporting Board or committee meetings, travel coordination, expense reporting, or special projects preferred. Physical abilities: Sedentary work, mostly sitting/standing with typical office equipment; occasional light lifting up to 20 pounds. Physical Demands This position involves sedentary work that primarily involves sitting/standing, use of typical office equipment such as a computer, laptop, and cell phone.
