Front Desk Coordinator

The Front Desk Coordinator serves as the first point of contact for patients and helps ensure the daily administrative operations of the rehabilitation clinic run smoothly. This position greets and assists patients, schedules appointments, answers telephone calls, maintains patient records, collects payments, and coordinates required documentation with referring physicians and other healthcare providers. The ideal candidate is friendly, organized, dependable, and able to manage multiple responsibilities while providing excellent service to patients.

Duties

• Greet patients and visitors in a friendly, professional, and welcoming manner.
• Answer incoming telephone calls, respond to routine questions, take messages, and direct calls as appropriate.
• Schedule, confirm, reschedule, and cancel patient appointments while maintaining an accurate therapy schedule.
• Make appointment reminder and follow-up calls to patients as needed.
• Create new patient charts and ensure required demographic, referral, and other documentation is obtained and accurately entered.
• Maintain accurate and organized patient records and update information as necessary.
• Assist new patients with required forms and general information regarding their appointments.
• Collect copayments and other patient payments and accurately record and process transactions.
• Provide receipts and maintain appropriate documentation related to patient payments.
• Send evaluations, assessments, plans of care, and other required documentation to referring physicians or healthcare providers for review and signature.
• Track outstanding physician signatures and follow up as needed to obtain required documentation.
• Receive and appropriately route referrals, physician orders, and other patient-related documentation.
• Communicate with therapists and other staff regarding scheduling changes, patient information, referrals, and documentation needs.
• Assist patients with routine scheduling, billing, or administrative questions and direct more complex questions to the appropriate staff member.
• Protect the confidentiality and privacy of patient information and follow applicable privacy and confidentiality requirements.
• Perform general clerical duties, including scanning, filing, copying, faxing, emailing, and maintaining records.
• Perform additional front desk and administrative duties as assigned.

• Strong organizational and time-management skills with the ability to manage multiple tasks and interruptions.
• Excellent attention to detail and commitment to maintaining accurate records.
• Strong written and verbal communication skills.
• Ability to use scheduling, electronic health record, or other healthcare office software and standard office applications.
• Ability to handle cash, make change, and maintain accurate transaction records.
• Ability to communicate effectively with patients, therapists, physicians' offices, insurance representatives, and other healthcare professionals.
• Ability to maintain confidentiality of sensitive patient and financial information.
• Dependable, professional, and able to work effectively as part of a team.

Physical Requirements

This position primarily involves office and front desk work and requires the ability to sit for extended periods and regularly use a computer, telephone, and other office equipment. The position also requires frequent interaction with patients and may involve periods of standing and walking, as well as occasional bending, reaching, and lifting or carrying routine office materials.
