The Human Resources Specialist supports the daily operations of the Human Resources Department with primary responsibility for recruitment, onboarding, employee records management, and regulatory compliance. This position plays a key role in onboarding talented employees while ensuring compliance with applicable federal, state, and school policies, including Virginia Department of Education Child Day Center Licensing requirements for licensed early childhood programs. The HR Specialist also serves as the primary backup for payroll processing and provides exceptional customer service to employees throughout the employment lifecycle.Supervisor: Human Resources ManagerSupervisory Responsibilities: NonePosition Status: Salaried, non-exempt, part-time, 12-month scheduleHours of Work: Standard work week; 8:00am-12:00pm flexibleEssential ResponsibilitiesRecruitment & Talent AcquisitionCoordinate the full-cycle onboarding process for faculty, staff, and seasonal positionsDevelop and post job advertisements on various recruiting platformsAct as back-up for drafting employment contracts and offer lettersMaintain candidate tracking spreadsheetsPartner with division heads to identify staffing needs and improve recruitment strategiesEmployee OnboardingCoordinate all pre-employment requirements, including background checks, employment eligibility verification, and required employment documentationEnsure all required employment forms, acknowledgements, and benefit enrollments are completed accurately and turned in to Payroll and Benefits Manager for processingCoordinate technology, building access, and new hire setup with internal departmentsServe as a resource for new employees during their transition into the School communityCompliance & Child Day Center LicensingMaintain compliance with Virginia Department of Education Child Day Center Licensing regulations related to personnel records and staff qualificationsMonitor required background checks, fingerprinting, child abuse registry searches, staff health form documentation, and other licensing requirementsTrack required employee certifications, annual trainings, and professional developmentMaintain documentation supporting licensing inspections and auditsWork with Lower School to stay current on applicable federal, state, and local employment laws and licensing requirementsHuman Resources AdministrationMaintain accurate and confidential employee personnel files, both electronic and paperReport and document employee status changes, promotions, transfers, salary adjustments, and separationsMaintain HRIS data and ensure accuracy of employee recordsAssist with benefits enrollment during open enrollment and throughout the yearPayroll SupportServe as backup for payroll processingEnsure payroll records are accurate and maintained in accordance with established proceduresAssist employees with payroll-related questions as neededGeneral ResponsibilitiesMaintain strict confidentiality of employee informationAssist with HR reporting, audits, and special projectsRecommend process improvements that increase efficiency and enhance employee servicePhysical Demands and Work EnvironmentWhile performing the duties of this position, the employee is required to sit; stand; walk; use hands to grasp, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
