About the role: Our customer has engaged us to identify a highly organized and proactive Executive Assistant to provide comprehensive high level administrative support to senior leadership. This is a fast paced role where you will act as a trusted partner to several C-suite executives, ensuring seamless day-to-day operations and effective coordination across internal and external stakeholders. This is a contract position, with the possibility for full time hire for the right person. This person will report to the Executive Assistant Manager. You will play a critical role in managing executive priorities, facilitating communication, and supporting meetings and events in a hybrid work environment. This role collaborates closely with a broader administrative support network to ensure alignment and continuity.

Key Responsibilities:

  • Provide high-level administrative support to C-level executives and senior leaders; anticipate executive needs and proactively address conflicting priorities.
  • Manage multiple complex calendars across global time zones, including prioritization and conflict resolution, without dropping details.
  • Coordinate detailed domestic and international travel arrangements.
  • Handle expense reporting and invoice processing.
  • Organize and support meetings, conferences, and leadership events from planning through execution; provide onsite support for leadership meetings and key events.
  • Act as liaison between executives, internal teams, board members, and external partners.
  • Collaborate with executive administrative teams to ensure alignment and coverage.
  • Serve as a point of contact for office-related needs and escalate issues when necessary.
  • Partner with vendors (e.g., facilities, security, cleaning, catering) to maintain smooth operations.
  • Manage high-volume inboxes, multiple calendars, and maintain reliable and repeatable organized electronic filing systems.

Qualifications:

  • Associate's degree (or equivalent experience); bachelor's degree.
  • 4+ years of experience supporting senior C-Suite executives in a global organization.
  • Advanced Microsoft Office experience (Outlook, PowerPoint, Excel, Word) and collaboration tools.
  • Expertise in managing complex scheduling, inboxes, and competing priorities.
  • Strong organizational skills with exceptional attention to detail.

We are committed to transparency and equity in all our people practices. The base salary range for this position, which is dependent upon experience, qualifications and skills, is estimated to be $37.50/hr-$50.00/hr.
