Position Type: Dental Office Management

Job Type: Full-Time

Compensation:

  • Equivalent to $35.00 – $43.00 per hour.
  • Expected annual earnings of approximately $64,000 – $89,000.
  • Guaranteed minimum of 35 hours per week.
  • Performance-based bonus opportunity after 90 days based on demonstrated results.

Schedule:

  • Four-day workweek.
  • Tuesday – Friday schedule.
  • Typical hours: 9:30/10:00 AM – 6:00 PM.
  • Occasional days may extend until 7:00 PM.
  • Every other Thursday schedule.
  • Every other Saturday, 10:30 AM – 5:00 PM.

Position Summary:

We are seeking a warm, professional, and highly accountable Dental Office Manager to lead the patient experience and daily administrative operations of a boutique, two-operatory dental practice in Midtown Manhattan.

This is a unique opportunity for an experienced dental professional who enjoys building relationships with patients and serving as the face of a high-end private practice. Unlike many traditional office management roles, this position is not focused on supervising a large administrative team or managing an internal billing department. The practice utilizes outsourced revenue cycle management, insurance verification support, and remote administrative resources, allowing the Office Manager to focus on what matters most: delivering a five-star patient experience, supporting treatment acceptance, maintaining operational excellence, and helping grow the practice.

As the primary in-office administrative leader, you will oversee patient scheduling, treatment coordination, financial conversations, patient follow-up, and day-to-day office operations. The ideal candidate combines exceptional customer service skills with strong organizational abilities, business acumen, and a genuine passion for helping patients feel cared for throughout their dental journey.

Rather than focusing on volume, the practice emphasizes quality relationships, exceptional service, and long-term patient loyalty. Every member of the team plays an important role in creating an environment that encourages trust, comfort, and outstanding clinical outcomes.

Key Responsibilities:

Patient Experience Leadership:

  • Serve as the face of the practice and primary point of contact for patients.
  • Deliver a concierge-level, five-star experience from the first interaction through treatment completion.
  • Build meaningful relationships with patients and foster long-term loyalty.
  • Address patient concerns with professionalism, empathy, and urgency.
  • Create a welcoming environment that reflects the practice's commitment to exceptional care.

Treatment Coordination & Financial Follow-Through:

  • Help patients understand recommended treatment and next steps.
  • Follow up on unscheduled treatment and outstanding treatment plans.
  • Discuss financial arrangements and payment options confidently and professionally.
  • Support treatment acceptance through education, communication, and relationship-building.
  • Ensure patients remain engaged and committed to their oral health goals.

Practice Operations:

  • Oversee day-to-day administrative operations of the practice.
  • Maintain efficient scheduling and patient flow.
  • Coordinate with remote administrative support teams.
  • Serve as the liaison between patients, providers, and outsourced support partners.
  • Identify and resolve operational issues before they impact the patient experience.
  • Take ownership of the overall patient journey and office efficiency.

Insurance & Administrative Support:

  • Possess a working knowledge of dental insurance and patient benefits.
  • Help patients understand insurance coverage and financial responsibilities.
  • Coordinate with outsourced insurance verification and billing teams as needed.
  • Maintain accurate patient records and documentation.

Marketing & Practice Growth:

  • Support internal marketing initiatives and patient communication campaigns.
  • Help generate patient referrals through exceptional service and relationship-building.
  • Participate in practice growth initiatives and retention strategies.
  • Identify opportunities to improve the patient experience and strengthen practice performance.

Qualifications:

  • Previous dental office management, treatment coordination, or front office leadership experience required.
  • Strong understanding of dental insurance and patient financial discussions.

  • Strong organizational and problem-solving abilities.
  • Ability to work independently and take ownership of responsibilities.

  • Experience in a fee-for-service or boutique private practice environment.
  • Concierge or hospitality-oriented customer service experience.

  • Experience working with outsourced billing or administrative support teams.
