Helix Community Schools is looking for a highly qualified Administrative Assistant that provides high-level administrative support to executives, helping them manage their schedules, communications, and day-to-day operations. The role requires strong organizational, communication, and problem-solving skills, along with discretion and professionalism.

Key Responsibilities :

  1. Calendar & Scheduling : Manage executive calendars, schedule meetings, and coordinate travel arrangements.
  2. Communication Management : Handle emails, phone calls, and other correspondence on behalf of the executive.
  3. Meeting Coordination : Organize meetings, prepare agendas, take minutes, and follow up on action items.
  4. Document Preparation : Draft reports, presentations, and other business documents.
  5. Office & Project Management : Oversee office operations and assist in managing business projects.
  6. Confidentiality & Discretion : Handle sensitive company and executive information with confidentiality.
  7. Stakeholder Liaison : Act as a bridge between the executive and internal/external stakeholders.
  8. Event Planning : Organize company events, conferences, or client engagements.
  9. Problem-Solving & Decision Support : Assist in decision-making by providing relevant research and insights.

Skills & Qualifications :

  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Proficiency in office software (Microsoft Office, Google Suite, etc.)
  • Ability to multitask and prioritize tasks effectively
  • High level of professionalism and discretion
  • Experience with travel coordination and event planning
  • Strong interpersonal skills for liaising with executives, clients, and teams
