Executive & Business Operations CoordinatorAbout the Role

We are looking for a highly organized, professional, charismatic, and service-oriented individual to join our team as an Executive & Business Operations Coordinator . This person will work closely with the leadership team and actively participate in client management, business meetings, and strategic projects.

This position requires someone with excellent communication skills, strong business judgment, and the ability to navigate client meetings, negotiations, and high-level business conversations with confidence and professionalism.

In addition to providing direct support to the leadership team, this individual should understand the fundamental concepts of logistics, fulfillment, e-commerce, and B2B operations , as well as have the ability to analyze information, prepare presentations, and track key business performance indicators.

Key Responsibilities

Executive Support

• Work directly with company leaders, providing support in managing and following up on various business matters.
• Manage and respond to emails and communications on behalf of executives when necessary.
• Prepare information, documents, and presentations for internal and external meetings.
• Coordinate and follow up on meetings, commitments, and action items.
• Handle confidential information with the highest level of discretion and professionalism.

Client & Partner Relations

• Participate in meetings with current and prospective clients, including commercial, operational, and negotiation meetings.
• Represent the company in a professional, approachable, and positive manner.
• Maintain clear and effective communication with clients and stakeholders in both Spanish and English.
• Follow up on requests, agreements, outstanding items, and commitments established during meetings.
• Build strong, trust-based relationships with clients and strategic partners.

Business Operations & Analytics

• Analyze operational and commercial data to support business decision-making.
• Track KPIs and prepare executive reports.
• Prepare executive presentations and materials for meetings with clients and the leadership team.
• Follow up on projects and ensure that tasks and important deadlines are met.

We are not necessarily looking for a logistics expert, but we do expect the candidate to have a solid understanding of the basic concepts of :

The candidate should also be comfortable working with Excel/Google Sheets, PowerPoint/Google Slides , and other tools used for data analysis and presentations.

Ideal Experience

• Previous experience working directly with executives, managers, or leadership teams.
• Experience managing or supporting corporate clients.
• Experience participating in commercial or business meetings.
• Experience preparing presentations, reports, or analyses.
• Experience in logistics, e-commerce, fulfillment, operations, or B2B will be highly valued.
