Front Office Supervisor (68041)

GuideWell Emergency Doctors

General Summary The Front Office Supervisor will oversee the daily operation of the Front Office Staff and ensure maximum efficiency in the care and experience of patients. The Supervisor will work in a fast‑paced, high‑visibility environment, applying their skills in a critical role to support the delivery of high quality emergency and outpatient care, while reducing ER visits, hospital admissions and overall costs. Office / Facility Manage and direct day‑to‑day operations of office staff in line with company policies, protocols, and procedures. Maintain the highest degree of customer service and patient quality care. Identify and resolve problems to enhance services and patient experience. Ensure timely completion of all administrative duties. Keep all patient charts accurate and complete while strictly protecting confidentiality. Supervise selection and ordering of office supplies. Manage facility performance indicators such as office visit maximums, insurance verification and authorization, co‑pay collection, patient wait time, safety, and cleanliness. Ensure reception area readiness, confirm office opening and closing times, and maintain full front‑desk operational status. Regulatory Implement and monitor compliance with all regulatory agency guidelines (e.g., CLIA, OSHA, HIPAA). Maintain current regulatory binders with up‑to‑date information. Revenue Cycle Participate in weekly revenue‑cycle huddles. Collaborate with the revenue‑cycle team to achieve a 5‑day charge lag. Audit charts daily to ensure coding accuracy. Front Desk Staff Assist the Facility Director in hiring, orienting, and training new front‑office staff. Maintain personnel records as required. Delegate work and schedule staffing hours. Ensure staff training and compliance with all government and regulatory agencies. Arrange coverage for employees on sick leave or vacation. Follow information‑security policies and expeditiously report on performance. Qualifications High School diploma, GED, or equivalent. Active BLS certification (preferred). Minimum of two (2) years in a medical office, hospital, or clinic patient services or similar role. Previous leadership, supervisory, or training experience (highly preferred). Successful completion of background screen and drug test required. Physical ability to work up to 12 hours a day, standing, walking, and light lifting. Proficiency in using office equipment (fax, copier, computer, telephone). Clear written, spoken, and reading proficiency in English.
