Executive Director
Position Overview: This position reports to the Board of Trustees and provides overall administrative leadership, coordination and outreach to ensure effective operations and achievement of organizational goals, including those related to community engagement, board development, volunteer and staff management, marketing and public relations, funding and financial management, programs and services and compliance with legal requirements/ethical practices.
Responsibilities and Duties:
1. Organizational Leadership: Leads and ensures the development and pursuit of Trustee-approved organizational strategies, as well as long- and short-term goals based on the mission and vision of the Center. Serves as the public face of the organization, representing it to stakeholders, partners, donors, museums and the postal history and general community.
2. Community Engagement: Cultivates and secures productive relationships/partnerships with other organizations.
3. Board Development: In coordination with the Board President, assists in recruiting qualified board members and providing new board member orientation and training.
4. Volunteer and Staff Management: Oversees the recruiting, training and management of an adequate volunteer group. Hires, trains and manages paid staff.
5. Marketing and Public Relations: Promotes an awareness and appreciation of postal history and the value of postal systems and artifacts. Ensures the organization’s website, newsletter, social media and other external communications meet high standards.
6. Funding and Financial Management: Identifies and pursues funding, including grants, sales of philatelic materials, donations, sponsorships, fundraising events, new member drives and other means needed to adequately fund the organization. In coordination with the Board of Trustees and Treasurer, proposes, gains approval for and manages an annual budget. Provides quarterly reports of the Center’s financial status to the Board. Ensures the acknowledgement of contributions, maintenance of proper financial records and on-time filing of required tax forms.
7. Programs and Services: In coordination with the Education Director and Librarian/Archivist, ensures the provision of programs and services meet high standards, including for planning, cataloguing, digitizing, acquisitions, donations, loans, evaluation and materials storage, conservation and documentation.
8. Other Duties: In addition to ensuring adequate recordkeeping, including documentation of Center policies and its developing history, performs other duties as may be assigned by the Board of Trustees.
Executive Director Job Qualifications
Experience & Attributes:
1. Proven ability to lead and ensure the development and implementation of organizational strategies and long-and short-term goals based on mission and vision.
2. Successful experience in building and maintaining productive relationships/partnerships with other organizations, groups and stakeholders.
3. Good working knowledge of Tucson and surrounding communities.
4. Experience in cultivating and helping to recruit and train new board members, as well as working with a board of directors/trustees.
5. Successful experience in recruiting, hiring, training and managing the performance of staff and volunteers.
6. Proven ability in securing organizational financial support, including through grants, memberships, donations, and other means.
7. Experience in organizational financial planning, budgeting, management and required reporting.
8. Successful experience in program development and management.
9. Commitment to quality education, especially for children and youth.
10. Exceptional verbal and writing skills for internal, public, donor and media relations.
11. Competency in commonly used computer programs in a business setting.
12. At least 3-5 years of successful experience in a supervisory and/or management position in a nonprofit organization.
Education:
1. A bachelor’s degree in business, nonprofit management, education administration or similar field, or substantial and successful organizational management experience. An MBA, MPA or master’s degree in nonprofit management is preferred.
The job may be full or part-time.
