Administrative Assistant Support Specialist

This role works closely with the Branch Manager and Sales team to ensure patients receive timely service, accurate documentation, and support with medical equipment coordination.

What You'll Do

Serve as the first point of contact for patients and visitors by phone and in person Support the Sales team with patient documentation and intake processing Confirm equipment delivery appointments and assist with scheduling Perform post-delivery confirmations and data entry Assist patients with paperwork, insurance explanations, and equipment instructions Collect billing or credit card information when required Maintain records through scanning, filing, and faxing documentation Support equipment preparation and warehouse coordination Conduct patient follow-up calls and satisfaction surveys Assist with respiratory equipment downloads and functional checks when directed Support inventory tracking and ordering of office supplies Handle documentation requests for audits and compliance

What We're Looking For

High School Diploma or GED 2+ years of office, administrative, or customer service experience Strong organization and multitasking abilities Comfortable interacting with patients and healthcare staff Basic computer and data entry skills Ability to work in a fast-paced office environment
