Role Overview

FlatRate Moving is seeking a hands-on, detail-oriented Full Charge Bookkeeper to deal with our day-to-day accounting and cash processes. This role is ideal for someone who goes beyond basic bookkeeping — someone who thinks critically, catches mistakes, and keeps the business financially organized and accurate. You will work directly with leadership and act as the internal “go-to” person for accounting operations across AP, AR, cash, and QuickBooks.

Key Responsibilities

Core Accounting:

• Oversee full-cycle bookkeeping in QuickBooks
• Daily cash reconciliation and bank/credit card reconciliations
• Enter bills, expenses, and journal entries accurately
• Process Accounts Payable and Accounts Receivable
• Generate invoices and ensure timely collections
• Maintain clean, organized financial records and documentation

Controls & Accuracy:

• Review invoices for accuracy, duplicate charges, and overpayments before processing
• Match purchase orders, contracts, and vendor terms
• Monitor departmental AR and follow up on outstanding balances
• Identify discrepancies and investigate unusual or incorrect charges
• Ensure proper coding and allocation of expenses

• Build simple processes/checklists to reduce errors
• Track recurring expenses and flag unexpected increases

Operational Finance Support:

• Assist with weekly cash flow tracking and reporting
• Support monthly close and P&L preparation
• Prepare reports for leadership (AR aging, AP aging, cash, expenses)
• Coordinate with payroll and benefits vendors
• Maintain vendor relationships and resolve billing issues

• Recommend ways to improve efficiency and reduce costs
• Help standardize procedures across departments
• Serve as the internal finance point person for managers’ questions

What We are Looking For

• 2–4+ years bookkeeping or accounting operations experience
• Strong QuickBooks and Excel skills

• Strong problem solver who thinks critically beyond basic data entry
• Takes ownership of financial accuracy with a strong internal controls mindset
• Experience with AP/AR and reconciliations
• Comfortable working independently in a fast-paced company
• Detail-obsessed and naturally skeptical (catches mistakes others miss)
• Organized, proactive, and accountable
