Position Summary
We are seeking an experienced Billing Manager to oversee the firm's end-to-end legal billing operations. This role is responsible for ensuring the timely, accurate, and compliant preparation of client invoices while delivering exceptional service to attorneys, clients, and internal stakeholders. The Billing Manager will lead billing operations across multiple practice groups, drive process improvements, ensure compliance with client billing guidelines, and support the firm's overall revenue cycle management objectives.
The ideal candidate will have extensive law firm billing experience, strong leadership skills, deep knowledge of legal e-billing systems, and experience working in a fast-paced AmLaw or large law firm environment.


Key Responsibilities
Billing Operations

• Manage the preparation, review, and distribution of client invoices across multiple practice groups.
• Ensure compliance with outside counsel guidelines (OCGs), client billing requirements, and matter budgets.
• Oversee monthly, quarterly, and ad hoc billing cycles to ensure timely invoice delivery.
• Handle complex billing arrangements including:
  • Alternative Fee Arrangements (AFAs)
  • Contingency billing
  • Blended rates
  • Fee caps
• Monitor Work in Progress (WIP) and Accounts Receivable (AR) in collaboration with Finance to support revenue realization.

Team Leadership

• Lead, mentor, and develop a team of Billing Coordinators and Billing Specialists.
• Allocate workloads and manage team performance.
• Provide coaching on billing procedures, system usage, and client compliance requirements.

Attorney & Client Support

• Serve as the primary billing contact for attorneys, partners, and legal assistants.
• Resolve billing inquiries and support client audits.
• Build strong relationships with internal and external stakeholders.

Systems & Process Improvement

• Manage and optimize the firm's legal billing platform (Elite 3E).
• Oversee electronic billing submissions through various e-billing portals.
• Identify opportunities to automate and streamline billing processes.
• Partner with Finance and IT on billing system upgrades and implementations.

Compliance & Controls

• Ensure billing practices comply with firm policies and client billing guidelines.
• Maintain audit-ready documentation and participate in internal and external audits.
• Reduce invoice rejections and write-offs through proactive compliance monitoring.

Reporting & Analytics

• Prepare and analyze reports including:
  • WIP
  • Accounts Receivable
  • Realization rates
  • Billed and unbilled revenue
  • Billing trends
• Identify revenue leakage and recommend process improvements to leadership.

Required Qualifications
Experience

• 10+ years of legal billing experience within a law firm.
• 3+ years of experience managing or supervising billing teams.
• Experience in an AmLaw 200 or large law firm environment strongly preferred.

Technical Skills

• Experience with legal billing systems such as:
  • Elite 3E (preferred)
  • Aderant
  • Elite Enterprise
• Experience with e-billing platforms including:
  • Legal Tracker
  • CounselLink
  • Serengeti
  • Tymetrix
  • EBH
• Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, and data analysis.
• Strong understanding of legal billing, revenue cycle management, WIP, AR, and financial reporting.
