This position will be responsible for coordinating, integrating, and administering a range of diverse support functions. This position offers the opportunity to support the organization through relevant business operations, business processes, administrative, and analytical focused assignments.Administrative Support & CoordinationProvide high-level support to the Markets Group leadership, teams, and departmentsManage and coordinate complex schedules for multiple executives, resolving conflicts and prioritize meetings with internal and external stakeholdersMaintain function/team calendars and shared mailboxes with precisionCoordinate domestic and international travel arrangements using online tools and travel consultantsProvide backup coverage for the Business Services Support staff, including potential support to the Executive Assistant (EA) of the Markets Group HeadBusiness Operations & Process ManagementMonitor and maintain staffing activities and workforce planning initiativesPrepare, monitor, and track travel budgets and current-year travel expendituresMaintain SharePoint Travel Page and other digital workplace resourcesIdentify opportunities for process improvement and contribute to the development of efficient workflowsRespond to inquiries regarding operations and processes within your coverage areaOversee office space planning and equipment managementEvent Planning & Stakeholder EngagementPlan and coordinate team events, meetings, and activities; manage all logistics to ensure successful executionFacilitate meetings in virtual, onsite, and hybrid environmentsAssist in the preparation of reports and presentations for internal and external stakeholdersCollaborate effectively with team members across the organizationOffice ManagementPerform centralized administrative duties including mail distribution, pantry maintenance, and supply managementMaintain inventory and place orders for office supplies and other materialsManage SharePoint sites and digital workplace tools for the teamThe Unique Skill Sets We're Looking For:Professional administrative assistant and business operations experienceSelf-starter with exceptional attention to detail and follow-up skillsProven ability to manage multiple competing priorities, meet tight deadlines, and coordinate multiple calendars simultaneouslyStrong calendar management experience, including scheduling high volumes of internal and external meetingsStrategic thinking skills with ability to prioritize assignments, requests, tasks, and projects effectivelyExcellent customer service orientation with ability to take initiative and proactively accomplish requestsIndependent worker who can also collaborate effectively as part of a team with minimal supervisionStrong problem-solving skills and sound judgment in resolving day-to-day administrative mattersProfessional communication skills to engage appropriately with all levels of management, including senior executives and external visitorsDiscretion and judgment in handling sensitive data and confidential informationTechnical proficiency in MS Office Suite (Word, Excel, PowerPoint, Visio, Teams)Experience with enterprise applications such as Workday, AI tools and SharePointTravel 5% of the time to the NY officeOther Things to Know:Salary Range: $80000- $92000 / yearWe believe in transparency at the New York Fed.
