SUMMARY

Provides a warm and welcoming atmosphere for clients, staff, and the public. In addition, the individual performs clerical tasks, support tasks, and maintains records for the agency.

ESSENTIAL POSITION JOB RESPONSIBILITES/DUTIES include the following. Other duties may be assigned.

Administrative Support:

• Perform general administrative duties such as data entry, copying, and scanning documents.
• Manage and organize office operations and procedures to efficiency and effectiveness.
• Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
• Greet visitors, tenants, staff/coworkers, consumers, and the public entering the facility.
• Keep the lobby space neat and tidy
• Assist with assigned organizational needs to include, but not limited to Vehicle Check Out, Fuel Card distribution and Car Wash Cards, maintenance/communications, monthly KDOT report, etc.
• Update and distribute van route schedules.
• Maintain vehicle books in KDOT vans and buses.
• Track and schedule vehicle inventory .
• Handles all deliveries that enter facility
• Oversee the issuance and tracking of building keys.
• Restock office items (paper, staples, pens, ect.)
• Other duties as assigned

Program Support:

• Prepare and distribute materials and reports as needed.
• Prepare and distribute incoming office supply orders.

Data Management:

• Enter and manage data in relevant databases and systems accurately.
• Ensure data integrity and confidentiality in all aspects of data management.

Requirements:

2 year degree

1 year of clerical experience
