Accounts Payable Specialist

The Accounts Payable Specialist manages high-volume invoice processing, supports month-end close activities, and ensures accurate and timely payments to vendors. This role focuses on non-PO and PO-based invoice processing, expense management, accruals, and general ledger postings while collaborating closely with internal teams in a supportive, team-oriented environment.

Responsibilities

Accounts Payable Operations

• Process expense related invoices i.e. utilities, insurance, day-to-day operating costs, etc. (150200 per month; ~3050 per day) using Metaviewer or similar systems
• Review, code, and enter invoices accurately, ensuring proper GL allocation
• Manage PO and non-PO invoices, including threshold-based routing and approvals
• Identify aged or unnecessary POs and assist with clean-up activities
• Handle check requests and prioritize urgent payments

Vendor Management

• Set up new vendors, including collecting and reviewing W-9s
• Validate tax IDs and maintain accurate vendor master records
• Support vendor master clean-up and data integrity initiatives

Sales & Compliance

• Assist with sales tax tracking and processing (~up to 50 transactions daily)
• Maintain compliance with company policies and regulatory requirements
• Support business license tracking and documentation

Month-End Close & Accounting Support

• Prepare and post journal entries (daily and month-end as needed)
• Assist with accruals for expenses and services incurred within the period
• Support the month-end close process, including AP-related reconciliations
• Perform flux (variance) analysis to explain period-over-period changes
• Reconcile aged invoices and PO's and work with supervisor to write off items as needed.

Qualifications

• 2 + years of experience in accounts payable or general accounting.
• Hands-on experience with accounts payable processing, including invoice coding, approvals, and payments.
• Experience with purchase orders and expense reports, including 2-way and 3-way matching.
• Strong Microsoft Excel skills, including proficiency with VLOOKUP and Pivot Tables.
• Experience preparing and posting journal entries to the general ledger, preferred
• Ability to perform accruals and understand period-end cut-off for services and expenses, preferred
• Familiarity with flux (variance) analysis as part of month-end close activities.
• Strong attention to detail and accuracy when handling high-volume invoice processing.
• Effective communication skills for working with internal employees and vendors regarding invoices, POs, and payment issues.

Job Type & Location

This is a Contract to Hire position based out of La Mirada, CA.

Pay and Benefits

The pay range for this position is $26.00 - $29.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
