Job Description Job Description Position Summary American Equipment Manufacturing is seeking an accomplished, highly organized Executive Assistant to provide direct support to senior management. This is a high trust, high visibility role requiring exceptional professionalism, discretion, judgment, organization, and follow through. The successful candidate will anticipate needs, manage competing priorities, and represent the company professionally with employees, customers, vendors, and business partners. Essential Responsibilities Manage executive calendars, appointments, meetings, reminders, deadlines, and evolving priorities. Coordinate meeting logistics, agendas, notes, action items, and follow up to ensure commitments are completed. Prepare, proofread, format, and organize professional correspondence, reports, presentations, and business documents. Screen, organize, and prioritize incoming communications and requests; maintain timely follow through. Coordinate travel arrangements, itineraries, reservations, and related logistics as needed. Maintain confidential executive files and records and handle sensitive information with a high degree of discretion. Support special projects and changing business priorities while maintaining a polished, professional executive office environment. Qualifications & Job Details Prior experience supporting an executive, business owner, senior leader, or fast-paced office strongly preferred. Professional, polished communication and sound judgment. Experience working with customer billing and invoicing platforms, such as OpenInvoice and GEP SMART. Proficiency with ERP systems, with the ability to learn and navigate new systems quickly. Exceptional organization, follow-through, and attention to detail. Ability to manage multiple priorities, frequent changes, and time sensitive requests. High level of discretion and confidentiality; resourceful and comfortable taking initiative. Bachelor’s degree in Business Administration, Management, Accounting, or related field preferred.
