Assistant Operations Manager

Fortified Risk Group is seeking a proactive, detail-oriented Assistant Operations Manager to support our Executive Protection program. This position combines administrative support, scheduling, staffing, client coordination, threat assessment support, and program compliance.

Working closely with the Director, Executive Protection, you will help keep protective operations organized, information accurate, and teams prepared. You should be comfortable anticipating needs, coordinating across multiple teams, and handling sensitive client and operational information with discretion.

What You'll Do:

• Provide administrative support to the Director, including calendar management, meeting preparation, correspondence, briefing materials, and action-item tracking.
• Maintain accurate program documentation and operational records.
• Build and maintain protective detail schedules, shift rotations, and staffing plans across assignments and locations.
• Coordinate coverage for events, travel, and short-notice needs while monitoring availability, hours, overtime, and coverage gaps.
• Coordinate with regional managers, team leads, and executive protection personnel to communicate assignments, distribute operational updates, document coverage approvals, and follow through on outstanding items.
• Support the threat assessment program through case tracking, stakeholder coordination, open-source research, information gathering, and assessments assigned by the Director.
• Prepare assessment reports for review and maintain confidential case records.
• Track personnel licensing, certifications, training, and renewals.
• Support insurance documentation, client compliance requirements, internal audits, and corrective actions.
• Partner with Human Resources on recruiting, screening, onboarding, offboarding, timekeeping, payroll submissions, leave administration, and personnel documentation.
• Manage expense reporting, invoicing support, purchase requests, and equipment tracking.
• Safeguard confidential company, client, employee, and operational information, including client identities, movements, schedules, and security arrangements.

Required Qualifications:

• At least five years of administrative, operations, or coordination experience. Experience in security, executive protection, law enforcement, military, or a similarly fast-moving operational environment is preferred.
• Demonstrated experience managing complex scheduling and staffing across multiple people and locations. Strong written and verbal communication, organizational, and recordkeeping skills, with the ability to interact professionally with executives, clients, and field personnel.
• Sound judgment, discretion, and the ability to work independently, prioritize competing demands, and adapt to changing operational needs.
• Proficiency with Microsoft Office / Google Workspace, scheduling tools, and database or tracking platforms.
• A valid driver's license and a driving record that meets company and applicable insurance requirements. Successful completion of a comprehensive background investigation and drug screening is required.
• A high school diploma, GED, or equivalent, plus a bachelor's degree from an accredited college or university or an equivalent combination of relevant education and professional experience.

Preferred Qualifications:

• Prior experience in executive protection, security operations, or protective intelligence; familiarity with threat assessment methodologies and behavioral threat assessment principles; and working knowledge of HR and employment compliance fundamentals, security licensing, firearms permitting, and certificate of insurance processes.

Work Schedule and Travel:

This is a hybrid position combining remote work with work from a company or designated office location. In-office requirements vary based on meetings, operational responsibilities, and business needs. Work may also occur at client sites, events, and other field locations.

The position requires irregular hours in support of active protective operations and availability to be reached outside standard business hours, including evenings, weekends, and holidays. Travel to protective details, events, and field locations is required.

Physical Readiness and Continuing Qualifications:

In addition to extended computer work, this position includes physical and emergency-response requirements. These include standing and walking for extended periods, navigating stairs and uneven terrain, moving quickly when necessary, and occasionally lifting or carrying equipment weighing up to 50 pounds. Emergency-response duties may require lifting, pulling, dragging, carrying, or otherwise moving a person or comparable load weighing up to 215 pounds for a limited distance.

Successful completion of the Fortified Risk Group Physical Readiness Test and maintenance of the applicable readiness standard are required, subject to applicable law and the company's reasonable accommodation process.

Employees must obtain and maintain the credentials required for their assigned duties, including applicable armed security licenses or permits, firearms qualifications, First Aid certification, and any specifically required emergency medical certification.
