Position: Part-Time Bookkeeper / Accounting Coordinator
Schedule: Approximately 20–25 hours per week initially, with potential for growth
Compensation: Competitive, based on experience

About the Position

We are a growing, family-owned business seeking an experienced, detail-oriented QuickBooks Online Bookkeeper to take ownership of our day-to-day financial recordkeeping.

This position will support multiple businesses, including CARE Restorations, TJR Properties LLC, and other business and real estate interests, with opportunities to expand responsibilities as we grow.

We currently work with an outside CPA firm that handles monthly financial oversight, reconciliations, and tax planning. We need a knowledgeable professional who can independently manage the daily and weekly bookkeeping responsibilities and work directly with our CPA firm.

We are looking for someone who knows QuickBooks Online thoroughly, takes initiative, stays organized, and can manage these responsibilities without constant supervision.

Key Responsibilities

Accounts Receivable

• Create and send customer invoices based on approved job documentation.
  
  
• Receive and accurately apply customer payments.
  
  
• Combine received payments into bank deposits that match actual bank transactions.
  
  
• Monitor outstanding customer balances and follow up on overdue invoices.
  
  
• Maintain accurate A/R aging reports.
  
  

Accounts Payable

• Enter and properly categorize vendor invoices and expenses.
  
  
• Track payment due dates and prepare payments for management approval.
  
  
• Maintain accurate vendor balances and A/P aging reports.
  
  
• Track expenses by company, property, or project when applicable.
  
  
• Organize and maintain receipts and supporting documentation.
  
  

Payroll Administration

• Coordinate payroll processing using ADP.
  
  
• Review employee hours and pay rates against management-approved records.
  
  
• Prepare payroll for final management approval.
  
  
• Coordinate with our CPA to ensure payroll transactions are recorded correctly.
  
  

QuickBooks Online Management

• Maintain accurate and up-to-date transaction records.
  
  
• Properly record and match payments, deposits, expenses, and processing fees.
  
  
• Identify and research discrepancies.
  
  
• Maintain separate and accurate accounting records for multiple businesses.
  
  
• Track intercompany transactions, reimbursements, and related expenses.
  
  
• Work with our CPA firm on bookkeeping procedures and resolving accounting issues.
  
  

Financial Reporting & Organization

• Provide weekly reports of outstanding receivables, upcoming payables, and cash balances.
  
  
• Identify overdue payments and financial items requiring management attention.
  
  
• Maintain organized financial records and documentation.
  
  
• Communicate directly with our CPA firm to ensure monthly accounting processes run smoothly.
  
  

Qualifications

Required:

• Strong, hands-on experience with QuickBooks Online.
  
  
• Experience managing accounts receivable, accounts payable, and bank deposits.
  
  
• Understanding of bookkeeping fundamentals and financial recordkeeping.
  
  
• Experience coordinating or processing payroll.
  
  
• Excellent organizational skills and attention to detail.
  
  
• Ability to work independently, prioritize responsibilities, and meet deadlines.
  
  
• Strong communication and problem-solving skills.
  
  

Preferred:

• Experience managing bookkeeping for multiple companies.
  
  
• Experience with ADP payroll.
  
  
• Familiarity with construction, restoration, service-based businesses, or real estate accounting.
  
  
• Experience working directly with an outside CPA firm.
