Payroll Coordinator

Payroll AdministratorThis position will support the payroll department in processing and administering payroll for the USA and Canada, ensuring accuracy and timeliness of employee pay, benefits deductions and compliance with company and regulatory requirements and guidelines. This role works closely with the Payroll Lead to execute day-to-day payroll operations and accounting with payroll-related reporting and employee support.Duties And ResponsibilitiesProcess weekly disbursement of multi-country, multi-state/province and multi-company payroll (biweekly and semi-monthly), including garnishments and liens, benefits and taxes, consistent with federal, state and provincial wage and hour lawsProcess new hires, temporary workers, transfers, promotions, rate changes, direct deposit accounts, deductions and terminations in a timely and accurate mannerOversee and adjust employee's timecards on a daily basisAssist employees with payroll, time-off and RRSP, 401(k) related questionsReview and analyze monthly sales commission reportsMonitor employees vacation/sick time and run quarterly reports for supervisorsSet up direct deposit accountsManage and maintain all liens and garnishmentsRetrieve Fidelity Feedback Files and add all in 401k contributions and 401K loan deductions for employeesAssist in preparation of state, provincial and federal reportsDownload expense reports from Concur and upload into payroll; Set up new employees in our Concur Expense System and email instructions on utilizing the systemSet up new accounts with agencies and payroll facilitator for state/province and local taxes keeping in complianceResponsible for preparation of provincial and federal reports and ensuring all provincial/federal reporting requirements are metResearches discrepancies of payroll information and/or documentation for the purpose of ensuring accuracy and implementing corrective measures as necessaryWork on payroll projects in conjunction with the Payroll LeadOpen and distribute all department mailDownload all payroll/tax reports on the payroll driveVerify and investigate discrepancies on UltiPro debit invoicesComplete all requests for Verification of EmploymentReset passwords for security access to employee informationMaintains personnel files including, scanning and uploading employee documentationOther duties as assignedReports to the Payroll LeadSkills And Experience Required1+ years Payroll experience required; degreePositive interpersonal communication skills, self-motivation and self-disciplineAbility to work with information of a confidential natureAccuracy and attention to detail requiredRecent experience in a position having significant payroll responsibilities in the coordination and supervision of payroll operations for 100+ employees in a multi State/Province environmentGeneral payroll, bookkeeping, record keeping and filing proceduresStrong technological skills including MS Office (Word, Outlook, Excel, PowerPoint); UKG (aka Ultimate Software or UltiPro) experience a plusStrong verbal and written communication skillsKnowledge of all applicable state and federal laws and guidelines preferred; experience with Canadian payroll and provincial/federal laws preferredExperienced working in a multi-location and multi-state environment is preferredPassionate, Adaptable, Customer Focused and Teamwork orientedWork confidentially with discretion on privileged and sensitive informationStrong sense of urgency and accountabilityPhysical/Mental Requirements:Requires prolonged sitting, standing, bending and walkingModerate to heavy use of hands in grasping, repetitive hand movement and finger coordination in keeping records and using a keyboardSpeech and hearing to communicate effectively in group settings, one-on-one, and by telephoneHigh level of concentration, confidentiality and organizationAbility to multi-taskRemote/Hybrid Work Requirements:In order to work remotely the Employee Must:Reside in the United States or Canada.Have access to high-speed reliable internet (with a minimum of 50 mbps for download speed and 50 mbps for upload speed).Have a quiet, dedicated workspace free from distraction.For more details, see the Remote Work Policy in the Employee Handbook.This job description reflects management's assignment of essential functions, it does not prescribe or restrict the tasks that may be assigned.Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
