Order Entry Specialist – Third-Party Subpoena Experience Required

Champion Records Service, LLC | Houston Area

Champion Records Service is seeking an experienced Order Entry Specialist to prepare and process third-party records requests for litigation. Prior experience with third-party subpoenas and Texas Depositions on Written Questions (DWQ) is required.

The ideal candidate understands the records retrieval process, works accurately under deadlines, and takes ownership of moving requests forward.

Responsibilities

• Review attorney instructions, case information, and requested records for accuracy and completeness.
• Enter orders into our records retrieval system, including parties, attorneys, facilities, record types, and relevant date ranges.
• Prepare Texas third-party subpoenas, Depositions on Written Questions, notices, authorizations, and related documents.
• Research and verify facility names, addresses, records custodians, and service information.
• Identify missing information or conflicting instructions and obtain clarification promptly.
• Review documents before release to ensure accuracy and consistency with client instructions.
• Coordinate with notice preparation, service, callers, and management to keep requests moving.
• Maintain clear order notes and protect confidential information.

Required Qualifications

• Hands-on experience preparing or processing third-party records subpoenas.
• Working knowledge of Texas subpoena and DWQ procedures.
• Experience with a records retrieval company, litigation support provider, or law firm handling third-party records requests.
• Strong attention to detail when reviewing names, case numbers, courts, facilities, and record specifications.
• Ability to manage multiple orders, prioritize rush requests, and meet deadlines.
• Accurate data entry skills and proficiency with Microsoft Outlook, Word, and PDF documents.
• Professional communication skills and dependable follow-through.

General data entry or medical office experience alone does not meet the experience requirement for this position.

Preferred Qualifications

• Experience requesting medical, billing, radiology, employment, and banking records.
• Familiarity with MR8, MR9, or similar records retrieval software.
• Experience with notice preparation, e-filing, and document quality control.
