Accounts Payable Administrator - SSC

Summary The Accounts Payable Administrator will support the Accounts Payable team and maintain an organized system of documentation. This role requires a strong focus on customer service, fostering a positive and professional culture throughout the organization. The ideal candidate will be detail-oriented, possess excellent communication skills, and be committed to upholding the confidentiality and security of financial information. Key Responsibilities and Accountabilities Deliver comprehensive administrative assistance to ensure smooth and efficient office operations. Sort and distribute all incoming mail and packages accurately and efficiently across multiple departments. Review and distribute all incoming emails and invoices to the general Accounts Payable inbox. Organize checks, obtain all required signatures, and postmark checks promptly. Meter all outgoing mail and conduct post office runs as needed. Maintain efficient and organized files and documentation to support smooth operations. Ensure the confidentiality and security of all financial files and sensitive information. Efficiently organize and manage tax documents ensuring all paperwork is accurately filed and readily accessible. Obtain necessary signatures on tax documents. Coordinate with a notary to ensure documents are properly notarized. Prepare and send documents via certified mail, ensuring timely and secure delivery, and maintaining tracking records. Assist with other projects as needed. Knowledge of applicable accounting systems and financial chart of accounts.
