Position Summary The Manager of Volunteer Programs reports to the Director of Development, is a member of the Resource Development Team and actively collaborates with all departments but particularly with Construction, Store, and Homeowner Services. This is a full-time position, averaging 40 hours per week. The work week is typically Tuesday to Saturday to accommodate our volunteer groups. Work outside normal business hours is expected. Some local travel is required. The primary responsibilities of the Manager of Volunteer Programs are to identify, coordinate, recruit and steward volunteers to maximize Habitat for Humanity of East Jefferson County’s capacity to carry out the mission. The position also develops a growth strategy and manages volunteer services at the affiliate. In addition, the Manager of Volunteer Programs will lead an ongoing, dynamic youth program by engaging individuals and student groups in the mission of Habitat. Primary Responsibilities Recruitment, on-boarding, scheduling, and managing (50%) Create and implement an annual plan to recruit volunteers for needs across the organization Meet regularly with other staff to identify, create or modify volunteer opportunities resulting in an organizational chart of key volunteer roles After consulting with other staff, write volunteer position descriptions, orient, interview, train and place volunteers Coordinate specialized engagement opportunities, including modified sweat equity tasks, court-ordered service, and more Ensure sweat equity participants are meeting their expected participation requirements Maintain volunteer records (position descriptions, waivers, information on hours served, sweat equity performed, etc) including updating the volunteer database and preparing data for reports to Habitat for Humanity International Ensure timely communication and scheduling of volunteers for Construction, Store, office, events, consultant projects, and other positions Schedule and coordinate public group builds, Care-A-Vanner builds, and builds in partnership with businesses and other organizations Oversee non-construction logistics for builds, such as food, safety supplies, sign-in tablet, chairs, tents, etc. Ensure that there is a consistent presence on the construction site to greet and register volunteers for their shifts, manage lunchtime logistics for group builds, and cultivate relationships with key volunteers. Assist the construction staff with volunteer management on site as needed/requested Recruit and supervise volunteers for events in roles such as set-up, refreshments, and clean up. Program evaluation, volunteer retention and appreciation (30%) Develop and implement a formal volunteer appreciation program across the affiliate Create and/or maintain written documentation of volunteer processes and policies Monitor, evaluate, report, and advise the affiliate on the strategy and vision of volunteer services Gather feedback from volunteers, including through surveys and regular check-ins, and work with staff and volunteers to handle any concerns or issues regarding their volunteer experience Implement corrective action plans and release volunteers when necessary Youth Engagement (10%) Create and implement a plan to integrate youth into Habitat EJC’s programs Coordinate volunteer opportunities for various youth groups and programs Provide ongoing support to schools and teachers participating in service-learning or curriculum-based Habitat programs Develop strategies to ensure sustainability and success of the Youth engagement program General (10%) Provide prompt follow-up to volunteers in order to foster positive, ongoing relationships Prepare and manage the volunteer engagement budget Coordinate organizational meetings and volunteer-centered communications processes Ensure compliance with all HFHI policies related to volunteers Create approaches to encourage volunteers to support the organization financially Participate in and actively collaborate in fundraising, stewardship and prospecting of donors with the Resource Development Team Manage opportunities to have a booth at community events, including scheduling, ensuring trained staff or volunteers are present, logistics, and evaluation Qualifications and Skills Minimum 5 years of experience managing volunteers or equivalent experience in human resources combined with personal volunteerism Exceptional interpersonal and communication skills with the ability to connect with and include people from all walks of life; able to train, coach, and create welcoming spaces Technologically proficient: comfortable with Microsoft Office, email, databases, and social media Able to work independently while contributing meaningfully to a team Excellent judgment with a high degree of discretion and integrity The ability to visit all Habitat job sites Flexible schedule with occasional evenings/weekends required Habitat for Humanity of East Jefferson County Values Schedule and Benefits This position is located in the Habitat administrative office at 2001 W. Sims Way. It is expected that the Manager of Volunteer Programs will work in the office, Tuesday through Saturday with frequent visits to the construction sites, unless other arrangements are made with the Director of Development. All full-time employees receive medical, dental, and vision insurance 100% of employee premiums covered by the employer. Medical coverage is an HDHP plan with HSA employer contribution of $1,500/per year.
