This role offers the opportunity to support core accounting operations while helping improve accuracy, efficiency, and collaboration across finance teams.
You will manage return-related financial processes, coordinate with internal teams and external partners, and ensure transactions are handled with precision.
Working closely with accounting, sales, operations, accounts payable, accounts receivable, vendors, and customers, you will contribute to smooth financial workflows.
The position combines accounting knowledge, problem-solving, documentation, and process improvement responsibilities.
You will play an important role in maintaining accurate records, resolving discrepancies, and supporting reliable financial reporting.

Accountabilities:

As an Accounting Support Specialist, you will support accounting operations by managing return processes, financial documentation, and reporting activities while ensuring accuracy and timely resolution of issues. Your responsibilities will include:

• Managing return merchandise authorization (RMA) activities by researching customer orders, submitting vendor requests, and tracking related credits.
• Reviewing return requests to ensure required documentation, approvals, and transaction details are complete before submission.
• Coordinating with sales teams, operations, vendors, customers, and shipping providers to facilitate equipment returns and related processes.
• Processing customer credits after confirming vendor credits and validating supporting documentation.
• Reconciling vendor credits with customer orders to ensure accurate financial records and appropriate credit amounts.
• Researching purchase orders, vendor information, transaction details, and credit requirements within enterprise resource planning systems.
• Entering and processing customer and vendor credit activity while supporting accurate accounting postings.
• Maintaining return case records, customer order notes, and documentation to improve visibility and prevent billing errors.
• Preparing month-end reporting related to open returns, credits, and other financial activities.
• Supporting reconciliation activities involving replacement orders, vendor invoices, and accounts payable processes.
• Investigating vendor credit discrepancies, billing issues, duplicate shipments, and return-related challenges.
• Creating and maintaining process documentation, guidelines, and reference materials to improve operational consistency.
• Assisting with internal and external audit requests by preparing documentation and responding to inquiries.
• Supporting accounting projects and additional finance initiatives as needed.
• Providing responsive, professional support to internal stakeholders, customers, and external business partners.

Requirements:

The ideal candidate is an organized and detail-oriented accounting professional with strong administrative skills and the ability to manage multiple priorities. You should have:

• High school diploma or equivalent required.
• Minimum of 2 years of experience in accounting support, order management, customer service, operations support, or a related field preferred.
• Experience working with accounting processes, customer credits, reconciliations, or transaction management.
• Proficiency with Microsoft Office applications, including Excel, Outlook, and Word.
• Experience using enterprise resource planning (ERP) systems to research transactions, manage records, and support financial processes.
• Strong organizational skills with the ability to prioritize tasks and meet deadlines.
• Excellent communication, documentation, and interpersonal skills.
• Strong problem-solving abilities with the ability to analyze issues and identify effective solutions.
• Ability to collaborate effectively with cross-functional teams and external partners.
• Ability to work independently, follow through on tasks, and manage responsibilities with limited supervision.
• Strong attention to detail and commitment to accuracy in financial documentation and reporting.
• Ability to adapt in a fast-paced environment with changing priorities.
