Position Overview

We are seeking a highly detailed, analytical, and process-oriented Billing Specialist to join our core Operations Team under a permanent, full-time remote layout with a strong structural preference for candidates operating within the Mountain or Pacific Time Zones. In this critical revenue assurance and account governance seat, you will be the single accountable owner managing client ledger calculations, portfolio fee assignment audits, and collections reconciliation pipelines. Shifting completely away from routine non-regulated administrative transcription logs, entry-level web content updates, or general customer support helpdesk ticketing, you will run an active high-volume portfolio accounting, direct debit variance, and multi-tenant aged receivables tracking laboratory. Partnering cross-functionally alongside regional wealth advisors, trading desks, and customer success cohorts, you will safeguard the integrity of our billing data strings. This position requires an operational finance professional who handles institutional datasets fluidly natively using Accountant, Bookkeeping, and Spreadsheets (Excel/Google Sheets) primitives, commands complete operational intimacy with specialized RIA billing ecosystems, and manages high-volume transaction timelines with exceptional organizational agility.

Key Responsibilities

• Billing Data Integrity Governance: Perform comprehensive monthly billing audits, fee parameter evaluations, and complex multi-tier account troubleshooting routines natively utilizing Accountant and fiduciary best practices.
• Household Structure Optimization: Continuously review and update client accounts and family household frameworks to ensure accurate, compliant fee schedule assignments matching legal agreements.
• Direct Debit Synchronization Control: Reconcile automated electronic debit results and supervise timely, error-free client fee extraction runs across unified clearing systems.
• Receivables Lifecycle & Exception Triage: Proactively track, isolate, and follow up on failed, outstanding, or rejected fee entries, identifying mechanical root causes and managing resolution paths natively using Bookkeeping methodologies.
• Account Liquidity Optimization: Coordinate next to internal Trading and Client Service cells to verify, predict, and monitor sufficient account liquidity balances prior to execution of fee debits.
• Systems Calibration Operations: Capture, modify, and maintain pristine billing records and customer data profiles natively leveraging integrated financial nodes (with a strong preference for Orion and Salesforce architectures).
• Aged Ledger Diagnostics and Reporting: Maintain detailed records of collection histories and outstanding margins, generating scannable reports regarding aged receivables tracking for operational leadership cells.
• Process Improvement Formulations: Identify operational friction points within recurring billing cycles to design and recommend automated workflow improvements that systematically reduce failed collections.
• Internal Stakeholder Support: Serve as the principal internal subject matter expert, delivering professional, highly clear technical resolutions to billing inquiries generated by wealth advisors.

Required Skills & Qualifications

• Possess a formal Bachelor’s degree from an accredited university in Business Administration, Finance, Accounting, Corporate Operations, or a matching quantitative or analytical discipline (or equivalent verified practical history).
• Demonstrated, successful professional experience operating as a Billing Analyst, Portfolio Accountant, Revenue Operations Specialist, Accounts Receivable Coordinator, or closely matching tech-enabled financial operations capacity within a fast-paced environment.
• Expert Ledger Stack Command: Production-grade operational literacy manipulating complex mathematical formulas, building diagnostic sheets, and parsing financial databases natively leveraging Spreadsheets (Excel/Google Sheets) .
• Grounded functional comprehension of foundational wealth management parameters—specifically encompassing portfolio accounting rules, custodian clearing tracking, and performance reporting concepts.
• Outstanding written, verbal, and textual communication strengths in English, with a documented background collaborating securely across distributed, multi-disciplinary stakeholder groups.
• Operational Timeline Context: Position operates under clear full-time guidelines requiring uncompromised availability Monday through Friday, 8:00 AM to 5:00 PM within the Mountain (MT) or Pacific (PT) Time Zones .
• Location Context: Position operates under remote guidelines open exclusively to qualified financial operations and revenue integrity authorities residing permanently within the United States .

• Prior platform or operations background manipulating database configurations natively inside the Orion Advisor Tech platform or Salesforce CRM environments is highly preferred.
