Retail Operations Specialist

From the atelier in Stockholm, we create collections spanning ready-to-wear, shoes, bags, accessories and jewelry. The Role TOTEME is looking for a Retail Operations Specialist - US to join our Team in New York City full time. In this role you will oversee and support the operations of our retail spaces across the US and coordinate communication and planning to and from headquarters. The role will function as a bridge between the store teams and the support functions at headquarters, and act as a retail advocate to such teams; Supply Chain, Buying, Planning, E-commerce, Tech, Production, Finance & Store Development. You will report to the Retail Operations Manager and work directly with the corporate retail team. Responsibilities Oversee and optimize store operations, KPI’s and related costs. Execute and support the planning of operational activities, such as price changes, promotions, and product launches. Create, update and maintain comprehensive handbooks, manuals and policies related to retail operations. Support with tech related issues and proactively work with improvements within the digital infrastructure. Communicate company information, guidelines and updated procedures to store teams, and follow up on adaption, serving as a liaison between HQ and store teams, ad-hoc and through planned touchpoints. Support and/or manage maintenance and store touch-ups and own contacts with local vendors, keeping track of budgets and approvals from Store Design & Development. Monitor store stock levels, deliveries and replenishment, ensuring stock integrity. Encourage the use of tools and systems to drive operational excellence and improve communications, including point of sale (POS) and Inventory Management Systems, Reporting tools and other retail programs or applications. Support with in-store tech and IT, such as keeping inventory of and ordering phones, tablets, printers and scanners when needed. Manage relationships with third-party vendors for services such as security systems, internet, cleaning and maintenance. Participate in and contribute to TOTEME’s social and environmental sustainability strategy. Your Profile Minimum five years of experience from operations in luxury retail environments. Experience from an international fashion retail business Broad understanding and expertise within IT & Tech Hands‑on experience with business related systems such as POS, OMS, Inventory Management‑and BI-tools. Previous experience with Shopify, Sitoo, iD Cloud, Omnium & Qlik is meriting. Proficient in Office Tools; Excel, PPT/Keynote, Google Docs & Google Drive Excellent organizational and numerical skills. Fluent in spoken and written English. About You A strong understanding of luxury retail and the fashion industry. Service minded, excellent communication skills with a mindset of that nothing is impossible. Commercial mindset, best‑in‑class operational skills, and a high attention to service and detail. Comfortable in navigating a complex tech‑ & IT infrastructure. Proficient in finding, analyzing & visualizing data from different sources. A proven ability to set clear goals and translate them into actionable roadmaps, always focused on solutions. Excellent project management skills with the ability to multitask, prioritize and Ability to work independently and to adapt in a fast‑paced, changing environment. This is a full‑time position based at our New York office, with a start date by agreement. The monthly salary for this role ranges between 75,000 and 80,000 USD before tax and will be set according to the applicant’s profile, skills and previous experience. TOTEME has teams in Stockholm, London, New York, and Shanghai, as well as retail spaces across Europe, North America, and Asia.
