What You’ll Do Are you passionate about delivering exceptional hospitality experiences and ensuring every meeting, event, and guest interaction runs seamlessly? As a Guest Services Specialist , you will play a key role in supporting the daily operations of our Conference Center and Guest Services team in our 900 Third Ave, NY office. This position serves as a central point of coordination for meetings, special events, visitors, and hospitality services, helping to create a polished and professional experience for attorneys, clients, vendors, and guests. You'll collaborate closely with cross-functional teams, oversee conference center operations, and help maintain the high standards of service and excellence our organization is known for. Hours: 8:00am-4:00pm with flexibility outside of these hours for events Deliver Exceptional Guest Experiences: Welcome and assist clients, visitors, and vendors, providing a professional and seamless experience from arrival through departure. Manage Conference Center Operations: Oversee meeting room reservations, resolve scheduling conflicts, and ensure all conference spaces are prepared and functioning efficiently. Coordinate Meetings and Events: Partner with internal teams and requestors to plan meetings and recurring events, ensuring all details are communicated and executed accurately. Serve as a Hospitality Liaison: Coordinate with catering, conference technology, facilities, administrative support, and other service teams to ensure successful event delivery. Oversee Event Execution: Monitor daily meetings and events, proactively addressing issues and ensuring all participating departments have the information needed for success. Manage Catering Services: Arrange food and beverage services, advise requestors on available hospitality options, and ensure timely delivery, accurate billing, and exceptional service. Maintain Conference Space Readiness: Conduct regular inspections of conference rooms and shared spaces to ensure appearance, cleanliness, and operational preparedness. Support Team Leadership: Provide guidance and oversight to Conference Center Coordinators and Assistants, helping maintain consistent service standards and operational excellence. Manage Vendor Relationships: Partner with hospitality and operations leadership to oversee food service and event vendors, resolve service issues, and ensure compliance with quality standards. Track Reporting and Financial Processes: Prepare reservation and event reports, process vendor invoices, and assist with hospitality chargeback and budget allocation activities. Drive Continuous Improvement: Maintain event profiles and lessons learned, support special projects, and contribute to the ongoing enhancement of hospitality and conference center operations. What You’ll Bring Experience: Three or more years of experience in hospitality, corporate concierge services, meeting planning, event coordination, conference center operations, or a related field. Customer Service Excellence: A strong commitment to creating outstanding experiences for clients, guests, and internal stakeholders. Organization & Time Management: Exceptional attention to detail, the ability to manage multiple priorities, and a track record of delivering results in a fast-paced environment. Communication Skills: Strong verbal and written communication skills with the ability to interact effectively and professionally at all levels. Problem-Solving & Judgment: Demonstrated ability to anticipate needed, resolve issues calmly and professionally, and exercise sound judgment in dynamic situations. Leadership & Collaboration: Experience guiding team members, building strong relationships across departments, and fostering a collaborative service-focused environment. Technical Proficiency: Working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint; experience with conference scheduling and event management tools is a plus. Adaptability & Dependability: A proactive, can-do approach, flexibility to support business needs, and a commitment to maintaining the highest standards of professionalism and discretion. Compensation The base salary range below represents the low and high end of the salary range for this position in New York City.
