EDUCATION

Required: High school diploma or general education degree.

EXPERIENCE

Required: A minimum of two years of responsible office experience or an equivalent combination of education and experience.

SKILLS, KNOWLEDGE, AND ABILITIES

• Courteous and professional.
• Strong verbal and written communication skills.
• Professional telephone skills.
• Ability to take accurate messages.
• Ability to act and respond in a professional manner to employees, subcontractors, and Customers.
• Attention to detail.
• General knowledge of and ability to use personal computers and Microsoft Office software.
• Knowledge of modern office practices and procedures.
• Ability to be cross trained to perform administrative duties.

RESPONSIBILITIES AND DUTIES

The responsibilities and duties of, but not necessarily limited to, the Receptionist:

• Answer and transfer telephone calls.
• Direct office traffic including UPS, FedEx, California Overnight.
• Conference room scheduling and orders lunches for meetings.
• Assist in ordering office supplies when needed.
• Process mail including dating and stamping, stapling certified envelopes to Preliminaries, and distributing mail to correct mail boxes.
• Ensure office and kitchen is tidy and clean for customer visits and meetings.
• Other duties as assigned.
• Update, maintain and follow up all insurance per project and per subcontractor.
• Assist in collection W9, pocket license, sub sheet and city business licenses.
• Process & organizing monthly subcontractor billings.
