Job Summary
The Manager supports the Office of the Chief Development Officer (CDO), managing workflow, projects, scheduling, and travel planning, and ensuring that internal and external stakeholders receive the information and decisions they need to keep projects on schedule. Working closely with staff across the Development Division, the Manager supports the National Trust’s principal giving donors; organizes Division meetings, retreats, and Board of Trustees materials; supports strategic planning and budgeting; and completes special projects as assigned. This is a support role that requires a level of proactivity as well as excellent communication, data management, interpersonal, and computing skills.
Duties Office of the Chief Development Officer- Manages the CDO’s calendar, travel schedule, and daily workflow; helps prioritize tasks based on Division and organizational needs; and coordinates the strategy and logistics of fundraising visits.
- Ensures that communications from the CDO are timely, clear, and responsive, and that stakeholders across the National Trust receive the information and decisions needed to move projects forward.
- Meets weekly with the CDO to prepare for upcoming meetings and priorities, builds preparation time into the calendar, and tracks project follow-up across Development Division staff.
- Drafts and edits written materials—talking points, memos, presentations, formal letters, and Board of Trustees materials such as agendas, minutes, and pre-reads—including research and fact-finding. Collaborates with the CDO to meet deadlines for the Advancement Committee and other Board work.
- Helps the CDO maintain relationships with Trustees, donors, prospects, and other high-level contacts, tracking events and milestones that warrant communications, visits, or targeted gifts.
- Serves as the chief administrative liaison to the Office of the President/CEO and the offices of other division chiefs; tracks and manages the CDO Office annual budget; and helps ensure Development Division staff meet annual planning and financial deadlines.
- In collaboration with Director of Prospect Management and Director of Communications and Stewardship, their delegates and/or other members of the Development Division, organizes the Principal Giving Committee, using the CRM to create agendas, take and share notes, and track next steps and follow-up.
- Organizes Development Division meetings, Management Team meetings, strategic retreats, and events—including scheduling, agendas and content, venue selection, contracting, catering, audio/visual setup, and follow-up.
- Drafts content for Sightlines, the Trust-wide internal newsletter, to share Development Division news, events, and updates across the organization.
- Serves as the administrative liaison for division-wide communications and project requests, and builds working relationships across divisions to facilitate the flow of information among staff, members, and donors.
- Maintains working knowledge of the National Trust’s organizational structure and resources to help Development Division staff find the information they need. Handles other duties and projects as assigned.
- At least five years of experience in a professional setting, preferably in a matrixed and geographically dispersed nonprofit; experience in a development office highly preferred.
- Excellent verbal and written communication skills, including writing, editing, and preparing high-quality presentation materials.
- Strong interpersonal and customer service skills, with a proven ability to collaborate across departments and build productive relationships with diverse stakeholders. Bilingual skills a plus.
- Strong data management skills, including accurate record keeping and experience with CRM or donor database systems.
- Strong organizational, analytical, and problem-solving skills with excellent attention to detail. Able to prioritize, multitask, and handle a high volume of requests—including frequent interruptions and changing tasks—with accuracy, and to achieve results with moderate supervision.
- Intermediate to advanced proficiency in Microsoft Word, Excel, and PowerPoint, and in Outlook for high-level scheduling and calendar management, with an aptitude for learning new technology, and experience with a CRM (currently using ROI).
- Works effectively both in the office and remotely; regular and reliable attendance required.

Pay & Benefits
This is a full-time, exempt level position, eligible for full benefits, including health, dental and life insurance, retirement benefits, paid parental leave, and 3+ weeks of vacation, plus sick time and holidays.
Hiring Range: $65,000-70,000 per year
