Administrative Assistant

** This is an In Office position. The office is located at the Pulehunui base yard. Candidates must be willing/able to commute to the office. Tom's Backhoe & Excavation Co. is looking for an Admin/Assistant to join our growing team. At Tom's Backhoe & Excavation Co., we specialize in civil construction projects across Maui, handling everything from excavation and grading to utility installations and site preparation. Our company has built a strong reputation for reliability, professionalism, and top tier service. As we continue to expand, we need a dedicated Office Admin/Assistant to help support our day-to-day operations and keep everything on track. Key Responsibilities: Provide administrative support to the team, including scheduling, data entry, and correspondence. Assist with document management, including contracts, invoices, and job site paperwork. Coordinate with vendors, subcontractors, and suppliers to ensure smooth project operations. Answer phone calls and emails, respond to inquiries, and direct them to the appropriate team members. Maintain office organization, inventory, and supplies. Assist with payroll processing and employee time tracking. Support the project team with any additional administrative tasks as needed. Qualifications: Previous admin experience in construction, contracting, or a related field is a plus Strong organizational and time-management skills with the ability to multitask. Experience handling confidential information Proficiency in Microsoft Office Suite (Word, Excel) Working knowledge of Google Suite Excellent communication and interpersonal skills Detail-oriented with a proactive approach to problem-solving. Experience with payroll, invoicing, or bookkeeping is a plus! Experience with Slack and/or Monday.com a plus Compensation: Full Time Competitive Pay based on skill level.
