Community Manager - Heritage Apartments

Job Description Summary This role manages the day‑to‑day operations of an assigned property, overseeing the team, daily activities, and resources to achieve budgeted financial and operational goals while ensuring compliance with company policies, Fair Housing, the Americans with Disabilities Act, Fair Credit Reporting Act, and other relevant laws governing multi‑family housing operations. Job Description Property Name: Heritage Apartments Location: Hillsborough, NC Property Type: Garden Stage: Stabilized Unit Count: 144 Schedule: Monday‑Friday, weekends if needed Responsibilities Provide input into the development of budget(s) for the property by analyzing and evaluating financial statements, reviewing current and projected marketing information, and accessing operational reports that establish historic and predict performance patterns. Meet targeted revenues by setting rent rates, ensuring rent and fees are collected and posted in a timely manner, making financial bank deposits, and preparing and reviewing monthly financial status reports. Approve invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, ensuring validity of certificates of insurance, coding charges to appropriate Chart of Account codes, and managing communication among vendor, accounting, and the client/owner as needed. Control expenditures by staying within the approved budget and managing the petty cash fund. Oversee lease enforcement by approving resident applications, discounts, renewal leases, conducting periodic apartment inspections, following proper notice requirements, evicting residents, and collecting late fees and other charges as allowed. Gather, analyze, and interpret market and economic trends that may impact the property, implementing short‑ and long‑range marketing and leasing strategies to achieve occupancy and revenue goals. Promote resident satisfaction and retention by responding to complaints, questions, and requests promptly, resolving service issues, and ensuring maintenance staff meets company standards for responding to resident service requests. Conduct regular property inspections and take appropriate actions to ensure that buildings, grounds, and amenities meet safety, cleanliness, and aesthetic standards. Supervise property staff by interviewing, hiring, orienting, training employees, and managing their performance in accordance with company policies, values, and business practices. Assist in managing the client/owner relationship by meeting with owners, conducting property tours, providing updates and information about property performance, and responding to owner requests as needed. Complete various accounting, financial, administrative, and other reports and perform other duties as assigned or necessary. For California only: Community Managers must manage the lease process using the California specific Lease File Checklist to ensure compliance. Basic Knowledge & Qualifications Bachelor’s degree from an accredited college or university preferred in Business Management, Real Estate, or related field. 4–6 years of relevant experience demonstrating the application of property management, sales, marketing, and customer service skills sufficient to manage an apartment community’s day‑to‑day operations, resolve complaints, complete financial records, and coordinate team work. Ability to manage multiple priorities in a fast‑paced environment. Excellent communication, conflict resolution, and customer service skills. Detail‑oriented, self‑motivated, capable of working independently as well as collaboratively. Bilingual English/Spanish skills are a plus. Specialized Skills All required state and local licenses and/or certifications. Valid driver’s license to operate a golf cart on property and ensure all staff with access to the golf cart also hold a valid license. Proficiency in Internet, word processing, spreadsheet, and database management programs to complete required reports and employment documents. Strong proficiency in property management software (preferably Entrata, Yardi, and/or OneSite). Management and supervisory skills sufficient to hire, lead, evaluate, and manage subordinate team members, including maintenance specialists. Travel / Physical Demands Work primarily in an office environment but may have frequent exposure to outdoor elements. Must physically access all exterior and interior parts of the community and amenities. Must be able to push, pull, lift, carry, or maneuver weights of up to 20 pounds independently and 50 pounds with assistance. Routine local travel may be required for bank deposits, training classes, outreach events, or other necessary duties. Compensation The salary range for this position is $70,000 – $75,000. Additional Compensation Corporate Positions: May be eligible to participate in a quarterly or annual bonus program based on individual and company performance. Onsite Property Positions: May be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
