Community Manager - Heritage Apartments

Job Description Summary This role manages the day-to-day operations of an assigned property, including daily activities and resources, to achieve established budgeted financial and operational goals. The role ensures compliance with company policies and relevant housing laws and regulations. Property: Heritage Apartments; Location: Hillsborough, NC; Type: Garden; Unit Count: 144; Schedule: Monday‑Friday, weekends if needed. Responsibilities Provide inputs into budget development by analyzing financial statements, marketing data, and operational reports. Meet targeted revenues by setting rent rates, ensuring timely rent and fee collections, depositing funds, and preparing monthly financial status reports. Approve vendor, contractor, and service provider invoices, reconcile work performed, validate certificates of insurance, code charges to appropriate Chart of Accounts, and coordinate communication between vendors, accounting, and owners. Control expenditures to stay within approved budget limits and manage the petty cash fund balance. Oversee lease enforcement: approve resident applications, process discounts and renewals, conduct periodic apartment inspections, follow notice requirements, evict residents, and collect late fees and other charges as allowed. Analyze market and economic trends; implement short‑ and long‑range marketing and leasing strategies to achieve occupancy and revenue goals. Promote resident satisfaction and retention by responding to complaints, questions, and service requests in a timely manner. Ensure maintenance staff comply with company standards for resident service requests and conduct regular property inspections to maintain safety, cleanliness, and appearance. Supervise property staff: interview, hire, orient, train, and manage performance in accordance with company policies. Assist in managing the client/owner relationship by meeting with owners, conducting property tours, providing performance updates, and responding to owner requests. Complete various accounting, financial, administrative, and other reports as required. For California locations: manage lease process using the California Lease File Checklist to ensure document completeness and compliance. Qualifications Bachelor’s degree (preferred in Business Management, Real Estate, or related field). 4–6 years of relevant experience in property management, sales, marketing, and customer service with a track record of managing day‑to‑day operations, resolving complaints, maintaining records, increasing revenues, and coordinating team work. Ability to manage multiple priorities in a fast‑paced environment. Excellent communication, conflict resolution, and customer service skills. Detail‑oriented, self‑motivated, and able to work independently and collaboratively. Bilingual English/Spanish skills are a plus. Specialized Skills Required state/local licenses and certifications; valid driver’s license for operating golf carts on property. Proficiency with Internet, word processing, spreadsheets, and database programs. Strong proficiency in property management software (preferably Entrata, Yardi, and/or OneSite). Management and supervisory skills for hiring, leading, evaluating, and managing subordinate and team members, including maintenance specialists. Travel & Physical Demands Work is primarily office‑based with frequent outside exposure to varying temperatures, weather, and environmental conditions. Must access all exterior and interior property areas. Must be able to push, pull, lift, carry, or maneuver weights up to 20lbs independently and 50lbs with assistance. Routine local travel may be required for bank deposits, training, outreach events, or other necessary tasks. Salary & Benefits Salary range: $70,000–$75,000. The role may also qualify for quarterly or annual bonuses (corporate positions) or weekly, monthly, or quarterly bonuses (onsite positions).
