Dock & Door Tec is looking for a Field Project Coordinator to support the Construction Business Unit and Program Managers by coordinating construction projects from the operational handoff through installation and completion. This is a great opportunity for a mechanically-minded construction or tradesperson interested in transitioning from the field into a hybrid office role.

This position keeps materials, schedules, site conditions, trade partners, installation resources and project communication aligned. The Project Coordinator serves as a dependable point of contact for general contractors, site superintendents, internal teams and Trade/Install Partners.

Success requires regular jobsite presence, accurate field measurements, disciplined follow-through and the confidence to address problems early. The right person communicates calmly and directly, de-escalates difficult situations and holds others accountable.

The primary duties and responsibilities of the Project Coordinator consist of but are not limited to:

Project Handoff and Planning

• Receive and review the project handoff packet, including scope, purchase orders, Trade/Install Partner details, change-order status, project contacts, drawings and required dates.
• Establish and maintain the master installation plan, project tasks, milestone dates and supporting documentation in company systems.
• Review project status and readiness with Program Managers and the Construction Business Unit team; identify gaps and drive open items to resolution.

Site Verification and Field Coordination

• Visit jobsites to verify field conditions and take accurate measurements of openings, pits, floors, framing, structure, access, power, disconnects, staging areas and other installation requirements.
• Review plans, specifications and manufacturer requirements; document conflicts, deficiencies and scope questions with measurements, photographs and clear field notes.
• Confirm general contractor safety requirements, access procedures, delivery limitations and site readiness before approving work for installation.
• Attend jobsite and coordination meetings when needed and represent Dock & Door Tec professionally.

Materials Scheduling and Installation

• Monitor purchase-order acknowledgments, projected ship dates, deliveries and material readiness; communicate changes proactively to internal and external stakeholders.
• Coordinate Trade/Install Partners as the primary operational point of contact, confirming availability, responsibilities, site requirements and schedule commitments.
• Coordinate delivery, drop shipment, unloading, staging, special equipment and installation windows with the general contractor and internal teams.
• Work with Customer Service and Operations to schedule installations and ensure crews receive complete, accurate project information.
• Track installation progress, return trips, punch-list items and completion requirements until each responsibility is resolved or formally transferred.

Communication and Issue Resolution

• Provide timely, accurate project updates to general contractors, site superintendents, Program Managers, vendors and Trade/Install Partners.
• Address schedule conflicts, site deficiencies, scope questions, performance concerns and other problems directly and professionally.
• De-escalate difficult situations by remaining composed, clarifying the facts, defining next actions and respectfully holding internal and external partners accountable for commitments.
• Escalate material risks and unresolved issues to the appropriate leader before they become larger project problems.
• Protect project scope by identifying changes and routing potential change-order needs to the Program Manager before additional work proceeds.

Project Completion and Closeout

• Collect and distribute completion photographs, field notes, punch-list status, manuals, warranties and other closeout documentation as assigned.
• Support verification of labor, materials, project records and completion information so the project can be invoiced and closed accurately.
• Confirm that unresolved items have a documented owner, next action and due date.

Qualifications

• High school diploma or equivalent.
• Two or more years of construction project coordination, commercial installation, field service or related experience preferred.
• Ability to read construction drawings, specifications and installation requirements and to take and document accurate field measurements.
• Experience working with general contractors, superintendents, subcontractors, vendors and skilled trades.
• Experience with Office 365, including Microsoft Outlook, Word and Excel, and the ability to learn ERP, CRM, scheduling and project-management systems. Acumatica experience is preferred.
• Knowledge of commercial dock equipment, overhead doors, specialty doors or related building products is preferred but not required.
• Valid driver's license and an acceptable driving record to support regular travel to jobsites.
• Clear communication skills with a proactive and professional demeanor
• Ability to prioritize tasks, manage multiple demands, and maintain accuracy
• Experience in an EOS/Traction environment is a plus

• Projects are installation-ready before technicians or Trade/Install Partners arrive onsite.
• Measurements, schedules, project records, field notes and communications are accurate and timely.
• General contractors, Program Managers and Trade/Install Partners receive proactive updates and clear next steps.
• Risks, conflicts and scope changes are surfaced early and driven to resolution through the appropriate owner.
• Project closeout information is complete and supports timely, accurate billing.
• Professional relationships are maintained with internal and external partners in alignment with Dock & Door Tec's core values and mission.
• Ensure D&DT client experience is exemplary
• Partner with D&DT employees to ensure internal efficiencies and collaboration

Work Environment & Physical Requirements

• This is a full-time, onsite position based at Dock & Door Tec with regular local travel to active construction sites.
• Work includes time in an office and at jobsites with uneven surfaces, changing weather, construction noise, dust, moving equipment and other typical site conditions.
• Must be able to walk active jobsites, use stairs and ladders as permitted, bend, kneel, reach and safely take measurements in field conditions.
• Must use required personal protective equipment and follow Dock & Door Tec and jobsite safety requirements.
